Description

Applications for TRAFFIC SECRETARY to assist traffic department will be accepted effective immediately.

Major duties and responsibilities:

  • Customer Service to Smithsonian users and suppliers from the traffic section services
  • Service billing through Smithsonian systems
  • Assign all incoming purchases to the purchase staff
  • Daily update of the workflow
  • Keep users inform of any changes on their Purchase Order
  • Update Purchase Order for the reconciliation of user’s credit cards
  • Make receipts of Purchase Orders in ERP for payments of suppliers
  • Receive and process cargo services documents and delivery services
  • Coordinate with the custom broker, documentation to retire the merchandise
  • Answer phone calls on traffic section
  • Answer e-mails of questions or concerns receive on the traffic section
  • Create Petty Cash Reports
  • Provide Support to the Traffic Supervisor
  • Provide support o the mail and correspondence section when required
  • Other duties as assigned


Location of position: Earl Tupper Center, Ancón, Panamá

Requirements:

  1. Fully bilingual English/Spanish
  2. Have completed at least junior years of college or concluded studies at a semi professional level, such as a technical career in bilingual secretary, accounting.
  3. Excellent knowledge of word processing (Word, Excel, PowerPoint, Internet, Microsoft Outlook).
  4. Excellent interpersonal relations
  5. Minimum 2 years of working experience
  6. Ability to work under pressure
  7. Diligent and multi tasking
