Description

We are seeking a Team Coordinator to help our various internal functions work effectively together towards the successful delivery of our renovation programmes.  The role will involve working with and supporting the Managing Director (MD) to help to focus all staff around the business objectives, understand their needs to help them to prioritise tasks.  The role will suit someone who enjoys a flexible remit within a fast-developing and changing environment.  We expect this role to be a fast track to senior management.

Please note this role will involve some travel, most commonly within London and at times across the UK.  Travel commitments are within working hours and generally do not involve overnight stays, although may require some flexibility with early/late starts to accommodate train travel.

Reporting to the MD, the key duties & responsibilities are:

  1. To provide administrative services including diary management, booking meetings, planning events, organising travel and preparing travel itineraries, correspondence and prioritising emails for the MD.
  2. Support the MD in a confidential capacity.  This may include regular travel commitments to support the MD at external meetings/events.
  3. To have oversight of all staff diaries to aid with coordination of meetings.
  4. Attend internal and external meetings with staff and their teams, take notes, prepare agenda’s and circulate key outcomes with other staff as required, ensuring actions are followed up.  This includes the monthly staff team meeting.
  5. To ensure progress against actions on staff are recorded and followed-up on a regular basis.
  6. Working with the MD, understand the needs and priorities of RetrofitWorks and support the managers / teams to deliver it.
  7. Monitor and assimilate Skype groups/teams ‘chat’ and pull out key actions or improvement comments onto a centralised improvement log.  Follow up on these actions regularly. 
  8. Along with all other staff, answer the main RetrofitWorks telephone line when able to, and deal with any queries
  9. Support other staff in maintaining records such that they are ready for external audit.
  10. Working with other staff to support the implementation of a new CRM system (Airtable) specifically across compliance, audit and membership related activity.

Hours:  09.00 – 17.30 daily (37.5 hours per week) 25 days holiday per annum.
