We are looking for a talented, energetic, detailed-oriented person to play a key role as our Team Assistant at CPI’s headquarters in San Francisco. This is a unique opportunity for a proactive and resourceful individual to help develop and maintain the operational infrastructure of this startup institution and to help shape the culture of the San Francisco office and larger organization. As Team Assistant, you will work directly for the Executive Director, Chief Operating Officer, and Chief of Staff and with the global operations team across a broad spectrum of activities and situations. In any given day you may answer general inquiries via phone and email, enter expense reports, redesign the San Francisco office space, organize files, deal with the Executive Director’s schedule, and/or assist the Communications Director in editing our work products. In short, you will help us make sure this office and organization are successful. You do not necessarily need experience in the world of energy and climate, but you should be intellectually curious and a self-starter. A sense of humor is a real plus.

PRIMARY DUTIES

Includes the following and others as assigned:

  • Serve as central office administrator for CPI, leading schedule coordination, travel and meeting planning, and document preparation for the CPI Executive Director and other staff as needed.
  • Coordinate board and organizational events, arranging logistics for transportation, travel, space, technology requirements, materials, etc.
  • Ensure that the Executive Director is fully briefed and prepared for all meetings, events, and trips.
  • Research and/or prepare materials for meetings and presentations; compile reference material as needed.
  • Review documents and communications prepared for accuracy, completeness, grammar, and syntax.
  • Ensure that files, both electronic and paper, are organized and current.
  • Serve as communication hub for CPI: answer phones, direct inquiries, and correspond with colleagues within and outside the CPI network.
  • Implement expense and payroll systems as necessary under the direction of the Controller and/or the COO.
  • Oversee office management for the San Francisco office, including managing office supplies, office space, and conference room use, and other duties as assigned.
  • Receive visitors to CPI San Francisco and manage in-person inquiries.
QUALIFICATIONS

The successful applicant will have the following minimum qualifications:

  • BS or BA degree
  • High degree of proficiency (or willingness to learn quickly) in Microsoft Office (Word, Excel, Outlook, and PowerPoint)
  • Self-motivation, persistence, dependability, and self-sufficiency
  • Ability to independently prioritize and manage multiple and sometimes competing tasks and satisfactorily meet deadlines and desired outcomes
  • Ability to quickly and accurately analyze problems and identify appropriate solutions
  • Capability to handle complex issues creatively and effectively
  • Tact, poise, professionalism, diplomacy, humor, the ability to work with a team, and the ability to interact with people from all walks of life
  • Attention to detail and strong organizational skills
  • Ability to handle sensitive matters with discretion
  • Excellent oral and written communication skills
  • International work experience a plus
  • Past experience with grants administration a plus
  • Past experience managing an office a plus
  • Passion for learning
