Job Description Graduate School of the Environment, Centre for Alternative Technology.

 

Job Title:      Student Support Officer. Maternity cover (For up to 12 months)

Hours:          40 hours per week. Flexible working required including some evening and weekend work on a rota basis

Responsible to: Course Director

Responsible for: no line management responsibilities

Status:         Associate Co-operative Member of CAT Management System

Salary:         £13,900 per annum plus 2% pension option

Location:      Courses Office

 

This is subject to a six month probationary period review and is for one year in the first instance.

 

 

 

 

Scope

 

The Centre for Alternative Technology (CAT) demonstrates ecologically sustainable methods and technology to the public from its 40-acre site in the hills of West Wales. It aims to inspire, inform and enable society to move towards a more sustainable future.

The CAT Graduate School of the Environment runs a series of postgraduate courses.

This is a full time, 5-day week (40 hours) post based in the Courses Office at CAT. It will involve working weekends and evenings on a rota basis. The bulk of the work will be the administration of the MSc Renewable Energy and the Built Environment (REBE) course run in conjunction with the University of East London (UEL) plus the administration of the Professional Doctorate programme run in conjunction with University of Wales Institute Cardiff. (UWIC)

 

Responsibilities

To work with the Assistant Student Support Officer to cover the following duties: -

 

  • Answering telephone, postal and email enquiries from potential and current students and staff
  • Responsibility for routine course administration including filing, photocopying and general upkeep of administrative systems
  • Responsibility for maintaining and developing the MSc REBE and Professional Doctorate databases
  • Liaising with potential students and preparing for enrolment
  • Enrolling students, including liaison with the CAT Student Finance Clerk and the Course Administrators at UEL and UWIC
  • Reporting to UEL and UWIC as required
  • Attend meetings at UEL and UWIC as required

·         Taking bookings for modules and preparing accommodation and meals lists

·         Troubleshooting and providing support to students and tutors during the modules. This includes working some evenings and weekends while the modules are running

·         Liaison with the Programme Leaders

  • Preparing the MSc REBE Module Handbook and other printed materials in liaison with Graduate School staff. Liaison with the Printer
  • Assisting with marketing of the MSc REBE and Professional Doctorate programme and contributing to the maintenance and development of the Graduate School web site
  • Updating and uploading information to the student intranet
  • To liaise with the administrative staff and act as a back up
  • Assisting with compliance with Health and Safety regulations
  • Other duties as required by the Course Director

 

The Department is currently in an expansion phase. We are nearing completion of a £6 million educational complex - The Wales Institute for Sustainable Education (WISE), which is due to open later in the year.

 

Co-operative Responsibilities

 

i.        to attend staff and other meetings as required and assist other Courses colleagues in their cooperative management duties.

ii.       to undertake cooperative rota duties.

iii.     to comply with health and safety requirements.

iv.    to undertake any other duties as requested by the elected Management Group, Overview.

-          Experience of working as an administrator in a busy office

-          Demonstrable good office skills with full computer literacy, including experience of using spreadsheets, word processing, databases, internet and email

-          Ability to work as part of a team or under own initiative

-          Ability to work with people at all levels within and external to the organisation

-          Ability to undertake and tolerance of dealing with routine tasks

-          Interest in, understanding of, and willingness to act upon environmental issues

-          Willingness to undertake training

-          General awareness of Health and Safety issues.

-          Desk top publishing

-          Experience of marketing

-          Previous experience of course or conference organisation

-          Experience of web design and maintenance

-          First Aid Training
