Senior Associate, International Politics and Policy Initiative (Berlin)

The International Politics and Policy Initiative (IPPI) is a philanthropic cooperation model to catalyze greater ambition on climate change by effectively and strategically harnessing multilateral and bi-lateral processes and other global political opportunities. It focuses on creating a shared strategic vision for philanthropy around four main components:

 

  1. Building the political conditions to transition to the low carbon economy
  2. Building new platforms of action that accelerate the pace of change in the real economy
  3. Mobilization
  4. Building the global regime

 

The IPPI is seeking to recruit a Senior Associate to support the operations of the secretariat, to ensure that the coordination within the IPPI secretariat and between funders and grantees is optimal.

 

The Senior Associate reports to the IPPI Executive director and is responsible for:

  • Management of program funded by multiple foundations aligned in a common effort:
    • Supervise program team's activities and cohesiveness, make sure everyone is aware of were they stand on the work plan goals
    • Managing the processing of grants with grantees, including due diligence of applicants from multiple locations around the World and evaluation of grantee reports
    • Managing incoming resources from the program's direct funders and ensuring reporting and financial transparency to each funder
    • Administration of the program including preparation of dockets and formal board materials
    • Maintaining a common database to support aligned partner Foundations showing an overview of grants on the common theme
  • Operations - Leading the operations of the IPPI by:
    • Develop the processes and procedures in line with the governance structure
    • Manage work plan timelines
    • Establishing (with others), monitoring and reporting on common metrics for Foundations working on the common theme
    • Develop other management tools (i.e. KPIs, Score Cards, Gantt Charts, etc.)
  • Budgeting – Manage the operational and grant making budgets.
    • Build budgets with budgeted, allocated and actuals revenues and expenses
    • Create a monthly variance analysis
    • Ability to adjust the budget based on program necessities
    • Communicate IPPI Director of overall budgetary performance (under/over) in a timely and transparent manner
  • Outreach - Support the IPPI Director on outreach activities with funders and grantees (e.g. coordinating meetings, pulling together agendas, invitations, notes, etc.).
  • Mapping - Lead mapping exercises to identify potential areas of influence in the international arena in collaboration with external consultants

 

Key competencies and characteristics

 

  • 5+ years of professional experience in process and procedure development, outreach activities, fundraising, strategy, and organizational development
  • Experience on project management, particularly on managing multiple budgets
  • Ability to understand the initiative's objectives, evaluate progress and independently manage projects through a complete cycle
  • Excellent organizational skills and persistence in following through on projects
  • Experience in effectively supporting multiple individuals
  • High level of initiative, with an ability to anticipate supervisors' needs and creatively address problems with appropriate, timely solutions
  • Proven ability to prioritize and handle multiple tasks independently; effective management of shifting priorities and time-sensitive projects to meet deadlines
  • Ability to be managed at a distance
  • Excellent written and oral communications skills, including the interpersonal skills and collegial spirit to work effectively with a variety or people
  • Solid computer experience with emphasis in Microsoft Office, especially Excel, Word and PowerPoint. Experience with Mac an asset.
  • Experience in working with NGOs is highly desirable.
  • Fluency in English required, knowledge of other languages is wanted.
