SUMMARY OF FUNCTIONS

The Regional Operations Coordinator will perform a variety of administrative, office and clerical functions in support of the Construction Standards Department.

ESSENTIAL DUTIES AND RESPONSIBILITIES

•    Provides administrative assistance to the Regional Operations Manager and Regional Directors required or as requested including word processing, information research, filing, taking and directing telephone messages. Drafts memos, department reports as appropriate. Makes arrangements and assists with executive management meetings, travel arrangements, conferences, schedules conference calls and meetings.
•    Provide support to Regional HR manager with ADP payroll for Regional departments. Maintain accurate cost coding and assist field staff with any issues and assistance needed with timecards.
•    Coordinates travel arrangements for Regional team using online travel tool. Researches and makes flight, hotel and rental car reservations in accordance with company policies and to obtain the most economical and efficient travel. Creates travel itinerary and schedules in accordance with authorized travel requests.
•    Maintains credit card accounts for Regional staff.
•    Performs other administrative or office duties or projects as required or as assigned.

QUALIFICATIONS

•    A high school diploma is required. Some College desired, but not mandatory.
•    Minimum 5 years administrative experience in construction industry with moderate to heavy workload.
•    Minimum 3 years working and understanding the processes with Subcontractors, including subcontracts, bidding, and insurance requirements.
•    Minimum 2 years accounting experience in construction industry.
•    Detail oriented; excellent data entry skills are required.
•    Proficient in Excel, Microsoft Office, Word and Outlook. Timberline experience a plus, but not mandatory.
•    Excellent verbal and written communication skills and the ability to work well with people are essential. Must be willing to support the team as required. A positive attitude is a must

PHYSICAL DEMANDS

Ability to communicate orally with customers, vendors, management, and other co-workers. Regular use of the telephone and e-mail for communication is essential.
Sitting for extended periods is common. Hearing, vision and speaking within normal ranges is essential for normal conversations, to receive ordinary information and to prepare or inspect documents.
No heavy lifting is expected. Exertion of up to 20 lbs. of force occasionally may be required. Good manual dexterity for the use of common office equipment such as computer terminals, calculator, copiers, and FAX machines.
Good reasoning ability is important. Able to understand and utilize management reports, memos and other documents to conduct business.
May be asked to run company related errand; mileage reimbursement applies.

WORK ENVIRONEMENT

The job is performed indoors in a traditional office setting. Activities include extended periods of sitting occasional fast paced events and extensive work at a computer monitor and/or calculator.
