JOB TITLE: RECEPTIONIST                            
BASIC QUALIFICATIONS:

  • High school diploma or equivalent with at least 1 year of experience.

  • Experience in customer service.

  • Experience in office operations.

  • Retail experience.

SUMMARY: The Administrative Assistant serves as receptionist for the Discovery Center, an environmental education facility, and provides visitor information and assistance, clerical and administrative support for the Albany Pine Bush Preserve Commission.  Responsibilities include but are not limited to visitor and telephone reception, correspondence, accepting program reservations and collecting associated fees, retail gift shop operation, conduct and maintain gift shop inventory, cash register operation, word processing, and data entry.  The position requires a customer service focus, a willingness to work with the public, demonstrate initiative, motivation, flexibility and organizational skills.  The Administrative Assistant is an employee of the Natural Heritage Trust working at the APBPC and is supervised by the Discovery Center Director.

ESSENTIAL FUNCTIONS:

  • Receive and assist Discovery Center visitors. 

  • Serve as a liaison for public information and education/program requests.

  • Provide visitor information via telephone, email and in person.

  • Answer requests which require knowledge of the operation of the Discovery Center and the APBPC.

  • Provide support and assistance to Discovery Center volunteers/docents.

  • Serve as a primary contact to receive and forward information regarding problems, concerns, complaints and other Discovery Center related issues.

  • Receive deliveries, and provide assistance for tenant visitors

  • Maintain daily operations such as copying, accountability of change fund and program receipts, handling occasional errands and mail. 

  • Responsibility for operation of retail gift shop including monthly inventories, quarterly tax reports, ordering and stocking inventory and cash register operation.

  • Carry out data entry and word processing needs.

  • Maintain public, school group and other program reservations.

  • Maintain brochure and information inventory.

  • Collect program revenue and complete daily revenue report forms.

  • Assist with tracking, surveys and information for a variety of Discovery Center programs.

  • Resolving customer complaints.

  • Other duties as assigned.

KNOWLEDGE/SKILLS:

  • High school diploma or equivalent with at least 1 year of experience. 

  • Excellent communication, presentation and interpersonal skills.

  • Strong organizational skills with attention to detail.

  • Experience or knowledge of natural systems helpful but not required.

  • Ability to complete tasks within assigned timeframes, possibly in the absence of supervision.

COMPLEXITY/PROBLEM SOLVING:

  • Consults with supervisor to resolve any unforeseen problems or questions.

  • Ability to prioritize tasks in the absence of specific instructions.

  • Complete multiple and varied assignments in a timely manner or under deadlines.

DISCRETION/LATITUDE/DECISION-MAKING:

  • Consults with supervisor in event of any unusual circumstance, problem or question that falls outside of specific instructions given.

  • Make day-to-day decisions as delegated by supervisor.

RESPONSIBILITY/OVERSIGHT –FINANCIAL AND SUPERVISORY:

  • May supervise staff and/or volunteers, interns, or temporary staff.

  • Ability to operate a cash register and calculate and deliver monetary change.

  • May lead small preserve work groups, including other staff or volunteers.

COMMUNICATIONS/INTERPERSONAL CONTACTS:

  • Ability to convey work instructions to other preserve management team members, including volunteers.

  • Ability to provide quality customer service in a courteous and professional manner.

  • Work with and communicate effectively with a wide range of people, including employees, the public, volunteers, and others.

  • Communicates professionally with a wide variety of people of different cultures.

  • Communicate with internal and external contacts to seek or convey information and coordinate arrangements.

WORKING CONDITIONS/PHYSICAL EFFORT:

  • Ability to work long hours, including weekends and holidays.

  • Work requires occasional physical exertion and/or muscular strain.
