Key Responsibilities:
A. Office Manager:
- To assist in setting up computer-based office systems, databases, mailing lists, financial systems and administrative procedures for the project.
- To assist in organising activities and meetings including booking venues, publicising and marketing, organising facilities, catering, and evaluations.?
- To deal with correspondence, and assist project staff in activities and other meetings.
- To take responsibility for gathering data and paperwork such as timesheets and attendance records, and maintain records and filing systems.?
- To contribute to the production and printing of marketing and other project material.?
- To attend relevant meetings with project staff and partners as required,?
- To assist in maintaining the project website.
- Provide administrative support for project activities and study visits, including bookings, organising accommodation & travel arrangements.
B. Financial Management.
- Record all incoming monies and outgoing expenditure on a week-to-week basis and provide end of month and quarterly summary to management.
- Allocate and monitor expenditure against all funders and produce monthly figures against each.
- Monitor internal budgets against funders, funders budget lines and internal budget and keep management informed especially when expenditure is close to or more than the total budget allowances.
- Administering and processing quarterly claims from overseas, international and other project partners .
- Prepare cheques for signing and liaise with bank to ensure cheque books and paying in books are always available, and ensure that these are signed as necessary.
- Keep records of all outgoing invoices/claims and make management aware of when paid/not paid.
- Administer payment of salaries and ensure that information is provided as necessary.
- Ensure that all payments are made to the Inland Revenue and Companies House within the required timeframe.
C. Office Management
- Assist and provide administrative support to the Managing Director where necessary.
- Order stationary supplies for the Sazani Associates, and maintain and develop stationary cupboard.
- Operate and maintain the telecommunications and postage systems and respond to requests for membership packs/information as appropriate.
