EMBARQ – The World Resources Institute Center for Sustainable Transport is looking for a Program Coordinator II who will play an integral role in helping EMBARQ projects run smoothly by supporting project directors with administrative coordination and financial oversight. A key member of EMBARQs administrative team, this person will demonstrate leadership by problem solving, reinforcing administrative policies and procedures, conducting relevant financial analysis of projects and exercising judgment to ensure timely operations.
The EMBARQ global network catalyzes environmentally and financially sustainable transport solutions to improve quality of life in cities. Since 2002, the network has grown to include five Centers for Sustainable Transport based in Mexico, Brazil, India, Turkey and the Andean Region, which are focused on implementing concrete changes to improve mobility in many of the world’s most important cities, in coordination with a Washington, D.C.-based team of distinguished experts. By focusing on transport, which affects everything from prosperity to pollution, EMBARQ seeks to generate significant social, environmental and economic benefits in the cities and communities where it works
The position reports to the Operations Manager. The Program Coordinator II position is based in Washington, D.C.

In conjunction with the Operations Manager, the program coordinator II is responsible for facilitating the management and timely operations of all EMBARQ projects. His/her main areas of responsibility are:
Financial Planning:
- Analyzes range of moderately complex variables to evaluate project financial performance
- Creates more complex financial reports to reflect program budget and performance projections
- Tracks program expenses and uses judgment to ensure their appropriateness versus grant agreements
- Applies judgment in assessing project budget past performance and provides thoughtful insight in the preparation of realistic program budgets
Fundraising:
- Enters donor and grant related data into CRM
- Drafts proposal outlines and non-standard proposal content and pro forma budgets
- Prepares financial reports summarizing status of grant and donors
- Develops processes to evaluate efforts, track project performance and donor participation
- Writes reports containing financial and narrative data
Contracts Management:
- Applies judgment in adapting samples to contract requirements to create valid contracts
- Drafts contracts in accordance to specific instructions
- Makes revisions to contracts as instructed
- Writes reports containing financial and narrative data
- Applies internal clerical procedures to route contracts to appropriate staff
- Cross references contracts with vendor payments and other transactions to ensure compliance with terms of agreements
- Evaluates program performance against contract requirements
Program Representation:
- Consults with project directors about program activities and work plan objectives
- Attends project related meetings and gives project overviews
- Maintains up-date-filing system
- Oversees program related information
Supervision/Leadership:
- Liaises with internal staff and stakeholders to problem solve and generate solutions to systematic issues, where necessary.
- Keeps supervisor informed of progress and asks for assistance as needed
- Shows initiative in finding problem solving and more efficient and effective ways to complete tasks
- Supervises intern on boarding and placement process
Communications / Outreach
- Is proficient with web-based filing systems, capable of designing complex, online filing structures and creating groups / lists functions using the systems
- Updates and maintains staff list when appropriate
- Coordinates outreach for Program projects
- Oversees Rolodex system for Program and ensures that data entered is accurate and up-to-date
