Role Description
The objective of this role is to ensure the programs you work on deliver an excellent Earthwatch experience*, which advances mission objectives; makes best use of resources and meets or exceeds customer expectations.

Your focus is on delivering program activities to time, budget and required mission standards, working with your program manager and other team members to deliver results against the agreed business plan.

Key to this is being an effective team player and working collaboratively with other parts of Earthwatch to achieve results.

Key areas of responsibility
Please note as the new structure is established globally, all Regional Program Management staff may be asked to undertake different tasks and focus on alternative projects and programs as required.

Overall responsibilities of all Program Coordinators may include:

1. Fielding Participants
- Preparation of participants across assigned programs (public, educator, corporate etc)
- Screening participant forms
- Delivery high quality customer service & participant stewardship
- Act as Field Delivery Team member as appropriate to facilitate/support programs

2. Applications & Selections
- Work with partners to select fellows
- Review fellowship applications
- Coordinate fellowship application process

3. Data Collection
- Collection of evaluation data
- Provision of program information for Earthwatch publications (to Marketing)
- Communicate results from projects to core/regional SMEs & Marketing

4. Incident Management & Risk Assessment Support
- Test emergency response plans
- Creating & updating threat assessments

5. Database/Web
- Enter project, program & participant information into Athena (with admin support)
- Update MoS database
- Ensure updates on current partnerships provided to Marketing for Earthwatch website

6. PI Communications
- Make field payments
- Collect field reports
- Collate key project documents
- Send participant information to PIs
- Collect briefing updates from PIs and provide to PMs
- Collect post-fielding feedback from PIs

7. Program Documents
- Coordinate creation of key program materials (pre-work etc) with PMs and regional SMEs
- Coordinate translation of materials as appropriate
- Work with Marketing on design & production of materials

Specific responsibilities of this role:
This position will be a multi-functional role, supporting the Program Team to fulfil deliverables under the global, regional and local projects, including corporate contracts. This position will report into the corporate program team but will be responsible for tasks across the Program Team, including but not limited to: coordinating field delivery for teen team facilitator, corporate field delivery (one day teams), provide support as needed for one day program, site visits, first team visits, learning team visits - orchestrate the logistics; EMS support (keeping track of travel), keeping IIMT up to date with travel. Must be willing and able to deliver teams in the field approximately 25% of the time to provide support for risk management, field delivery and facilitation.

The role requires strong customer service skills and the ability to interact collaboratively across internal departments and with executive level donors. The role may also include coordination of research programs, engagement activities, facilitation and delivery, formatting of briefings and other documents and administrative support, being creative and flexible in an often fast paced environment.

There is a preference for this role to have fluency in French.

Personal Specification:

Paygrade/Job Banding B-6 to B-12 $32,702 to $37,338
