Overall Function
 
The EU Program Associate will support program staff in the Oceans European Program team based in both the United States and Europe. The Program Associate plays a key role by providing administrative and logistical support to the team and ensuring smooth operation of day-to-day activities. This position involves confidential and sensitive information and deals with a diverse group of internal and external contacts. Independent judgment is required to plan, prioritize and organize your workload within this busy program.
 
Key Responsibilities
 
Administrative Support:

  • Act as a liaison with other departments and outside organizations.
  • Handle confidential and non-routine information.
  • Manage the EU Program Director"s meeting schedule, maintain calendar in MS Outlook, and update the contact list by tracking new business cards and e-mails.
  • Organize, calendar and coordinate preparation for meetings on behalf of the team, including the logistics (setting up conference lines, booking video conferencing, arranging meeting rooms, etc) and preparing draft agendas, supporting materials and minutes where requested.
  • Coordinate information requests from team members, programs and/or departments to ensure requests are met according to deadlines.
  • Coordinate regular check-ins with all direct reports and other key EDF staff members.
  • Ensure regular meetings are maintained and consistent.
  • Coordinate all logistics for EU team domestic and international travel; ensure team members are prepared by providing detailed itinerarires listing all transportation, hotel and meeting arrangements prior to travel.
  • Type, edit and format general correspondence, memos, charts, tables, graphs, etc.
  • Ensure timeliness, consistency and quality in all work products.
  • Help process expense reports and invoices and track expenses against budgets.
  • Assist in monthly process of forecasting future spending plans.
  • Various additional administrative and research tasks as needed.

Project Tracking and Contract Management:

  • Administer contracts for consultants, including assistance in drafting contracts, working with the Accounting Department to ensure payments of contracts and with program staff and consultants to ensure the obligations of contracts are fulfilled.
  • Work with Program Director and Program Manager to track status of all pertinent projects and programs, including proposals, contracts, and various kinds of reports.
  • Process and track consultant invoices.

Qualifications

  • At least five years working for a senior-level executive.
  • Excellent interpersonal skills and ability to interface well with all programs/departments in the organization and to represent the Oceans Program in a highly professional manner.
  • Excellent written and oral communication skills. Must be well organized, motivated, and detail-oriented.
  • Position requires demonstrated poise, tact, and diplomacy.
  • Must be comfortable handling confidential and sensitive information.
  • Ability to work in a team setting and also to work independently with minimal supervision.
  • Highly proficient in MS Word, Excel, PowerPoint and other software applications.
  • Experience with budgeting, accounting and/or bookkeeping.
  • Demonstrate initiative and problem solving skills.
  • English required.
  • Fluency in a second European language preferred.
  • Interest and/or experience in environmental advocacy preferred.
