Program Assistant (Temporary two-year) The Program Assistant will provide a broad range of administrative and logistical support for the Climate & Energy Program (C&E) and particularly the new Climate Impacts Strategy. The Program Assistant will provide administrative support to the new Climate Impacts Collaborative (CIC) which engages diverse, influential constituencies in local, regional and national efforts that will ultimately persuade target opinion leaders to speak out on climate impacts.
Responsibilities Act as interface between UCS staff and CIC collaborators. Set up and manage communication structures for the collaborative, including teleconferences, webinars, and listervs. Provide administrative support to Program leadership. Coordinate event planning and logistics for C&E projects and convenings. Manage participant lists and invitations, coordinate communication between participants before and after meetings, arrange travel for participants and staff and manage other logistical details as necessary. Provide the UCS Climate Campaign with various types of support including production assistance for reports and other materials, which could involve: gathering and compiling data; tracking, searching, organizing, fact-checking and summarizing material such as data, photos, and graphics; coordinating logistical support for media tours and/or webinars. Provide program-wide administrative assistance. Key responsibilities include but are not limited to scheduling and meeting room set-up, in addition to dissemination of reports to targeted recipients, report reprints, and preparation of materials. Qualifications and experience Bachelor’s degree or equivalent is required. Position requires considerable self-motivation, attention to detail, familiarity with office and administrative support procedures, competence in word processing and spreadsheet software, and excellent email software and web research skills. Strong organizational abilities and good written and oral communication skills are needed. Excellent personal relation skills are essential. Position must be able to work both independently and in teams, and to interact professionally with senior scientists, and both external and UCS colleagues in sensitive matters. Position requires at least two years of relevant experience as an administrative, executive or research assistant, preferably in a non-profit environment. Experience with conducting web research, maintaining databases, event planning, and familiarity with climate and energy issues is preferred. On-the-job training of six months is needed to become familiar with UCS personnel, programs, and procedures. At UCS, comparable training and/or experience can be substituted for degrees when appropriate. Compensation, Hours and Location: This is a full-time temporary, two-year positionbased in UCS’s Cambridge office.
