Overall Function 
The Program Assistant will provide administrative and program support to the Corporate Partnerships Program (CPP) team members primarily in the Washington, DC office under the supervision of the Corporate Partnerships Managing Director.
 
Key Responsibilities
The Program Assistant will:

  • Arrange meetings, appointments, conference calls, and coordinate travel arrangements for multiple professional staff members.
  • Draft, develop and distribute correspondence.·         Create, proofread, edit, and format documents, spreadsheets, and reports.
  • Photocopy, fax and mail materials as needed.
  • Work with Project Managers on preparing reports for printing.
  • Work with printer/designer for reports.
  • Work with Program Staff in support of their projects.
  • Maintain Salesforce.com contact management system through organizing records and updating information.
  • Maintain files, electronic “rolodex entries” and other online databases.
  • Process Expense Reports and AmEx statements.
  • Process consultant contracts and submit invoices as needed.
  • Assist with tracking invoices and expenses paid on consultant contracts.
  • Track monthly expenses for designated projects within CPP.
  • Assist with planning and events logistics as needed.
  • Backup other CPP program assistants as needed.

 
Qualifications 
For the Program Assistant position, we are seeking a highly organized, detail-oriented self-starter with a background in the business and/or non-profit sectors.   The qualifications for this position include but are not limited to:

  • Bachelor’s degree.
  • One to two years of relevant office experience in business or non-profit experience preferred.
  • Excellent writing, proofreading and clerical skills.
  • Computer proficiency in Microsoft Office, Outlook, Excel and PowerPoint.
  • Ability to oversee details of complex projects with high level of accuracy and attention to detail.
  • Ability to juggle multiple tasks in a high-pressure environment.
  • Ability to prepare publication-quality scientific graphs and figures.
  • Good communication skills including the ability to communicate obstacles.
  • Ability to work independently while managing various tasks.
  • Ability to work in a team environment with individuals who maybe located in other remote offices.
  • Ability to receive and prioritize work from several professionals.
  • Proficiency in Salesforce.com a plus.

 Department/ Location
This position will be located in EDF’s Washington, DC office.
 
Start date
The target start date is July 2, 2012.
