Production Coordinator
Communications Department
Cambridge, MA Office

Under the supervision of the Managing Editor, oversees layout and production of UCS technical reports and print material, and proofreads layouts of UCS products. Works with authors and designers to meet deadlines, supply needed materials, and implement changes. Requests print bids and coordinates print jobs. Manages the organization’s visual asset management system. May provide production assistance on multimedia projects as time allows.

Responsibilities

  • Serve as primary project manager for UCS reports during the design and layout phase. Ensure freelance designers have all necessary text and related materials on schedule, and that designers meet their deadlines. Coordinate review of layouts and ensure requested changes are made.
  • Assess artwork needs (figures, tables, and photos) for reports, and either supply those materials or provide written guidance to designers. Compile front matter and write and/or edit captions, pull quotes, and cover blurbs, ensuring consistency with relevant messaging. Ensure funders are properly acknowledged.
  • Proofread layouts, galleys and other print material for grammar, spelling, house style, and brand consistency.
  • Help determine print quantity needs and request bids from printers. Stay abreast of developments in printing.
  • Ensure art files are appropriately tagged and saved in the UCS visual asset management system, and that figures and tables are converted for presentation and online purposes. Respond to requests for specific pieces of art. Provide day-to-day management and training in use of the visual asset management system. Ensure artwork is appropriately credited, and maintain familiarity with stock photo sources’ usage policies.
  • As necessary, coordinate changes to InDesign templates with the designer responsible for them. Assist staff as needed when formatting text in Microsoft Word templates.
  • Respond to staff requests for reprints, and external requests for permission to reproduce UCS materials.
  • As skills permit, assist with small design jobs in accordance with UCS brand standards.
  • Schedule and oversee photo shoots for staff portraits or other projects as needed.
  • Perform other related functions as directed.

         

Qualifications and experience

Position requires a bachelor’s degree, fluency in English and use of Microsoft Word, exceptional proofreading skills, knowledge of grammar and usage (including Chicago Manual of Style rules), and attention to detail. Must be highly organized, with the ability to multitask, work both independently and as part of a team, and the interpersonal skills to solve problems in a collegial manner.

Writing and editing skills and experience using the Adobe suite of products (Acrobat, Photoshop, Illustrator, InDesign) are strongly preferred. Familiarity with an electronic asset management system is a plus.

Position requires two to three years of comparable and relevant experience coordinating print production and publication design. A background in science and/or technology issues is a plus.

At UCS, comparable training and/or experience can be substituted for degrees when appropriate.

Compensation, Hours and Location: This is a full-time position based in UCS’s Cambridge, MA office. For candidates who meet all position requirements, the salary is in the high $40,000s.
