SUMMARY DESCRIPTION:

The Planned Giving Associate is responsible for the administration of planned gifts including estates and gift annuities.  Provide administrative support to the Planned Giving Program. Coordinate the marketing of planned gifts, including the development and creation of marketing and stewardship materials. Assist with cultivating, soliciting and stewardship of planned giving donors and prospects.

RESPONSIBILITIES:

1. Manages Estate Administration. Organize the recordkeeping and communication with attorneys and executors on estate gifts. Works with Legal Department to successfully resolve any problem estate issues. Process estate gift payments and update donor accounts in fundraising database. Track active bequests and estates in probate, including contacting attorneys and representatives for follow-up, obtaining wills and all documentation needed. Draft correspondence with estate contacts.

2. Respond to inquiries about planned giving from donors and their advisors through mail, phone and email in a timely fashion. Organizes system to ensure timely follow-up to inquiries within 48 hours of receipt and appropriate follow-up contact by the Gift Planning Manager or Officer. Organizes Gift Planning files and enters data, coding donors and prospects, and updating database.

3. Log income and expectancies. Provide regular reports and analysis regarding planned giving income, expectancies and marketing efforts to assist with accurate budgeting and forecasting of Planned Giving revenue. Works with the Finance department to ensure proper reporting of income. Reconciles income and expectancies with Finance department.

4. Coordinate the process of monthly gift annuity distributions and annual gift annuity state reporting/registration. Provides for on-going customer service needs for annuitants. Manages compliance with state regulations for charitable gift annuities and the relationship with outside vendors responsible for gift annuity financial administration and management. Completes gift annuity state registrations and filings and ensures timely compliance.  Maintains up-to-date knowledge of gift annuity regulation and updates Gift Planning Manager on any compliance issues. Assist with preparing gift illustrations for donors using planned giving software.

5. Work with internal resources and external vendors to coordinate the production and mailing of planned giving marketing and stewardship materials. Develops marketing plan calendar. Works with other Development and Database staff to ensure correct audiences are delivered to mail shop for production.  Assists with creative design for Planned Giving newsletters and other mailings. Manages relationship with printing and mail shop vendors to ensure production of bulk mailings per mailing schedule. Maintains marketing response tracking for Gift Planning Program and executes regular reports.  Develops new Planned Giving print ads, accesses photos as needed for printed materials.

6. Manages updates of the Gift Planning section of the Greenpeace website by submitting regular updates and additions to outside vendor. Consults with Greenpeace website staff to review website performance and seeks guidance for improvements.   

7. Perform other job related duties as requested or assigned by the Gift Planning Manager.

QUALIFICATIONS:

 Skills:

  • Excellent verbal and written communication skills
  • Strong organizational skills and accuracy, attention to detail and ability to multi-task.
  • Background or interest in legal, financial or tax planning helpful.
  • Computer literacy and proficiency in Excel, Word, database programs.
  • Ability to coordinate projects with many variables, set realistic deadlines and manage a timeline.
  • Work effectively in a team setting.

EXPERIENCE/ACCOMPLISHMENTS:

  • A minimum of 3 years experience in an administrative position.
  • Knowledge of planned giving or other non-profit fundraising principles a plus.
  • Commitment to environmental and peace issues central to Greenpeace’s mission.
