We have an exciting and challenging opportunity for a reliable and experienced Personal Assistant to join our team in London. You will gain valuable experience working in a vibrant and growing international organisation dedicated to protecting the environment. Your primary responsibility will be providing a wide range of essential organisational support to the CEO (and, when time allows, the COO) in all ClientEarth matters, including administrative assistance and diary management. In addition, this role will require a more substantive contribution to the organisation: in depth research tasks in various environmental fields. The Personal Assistant is also the main point of contact for all members of the Board of Trustees and the Senior Management Team (SMT).  

This role is based in ClientEarth’s London office.


About you

The successful candidate will be highly organised, efficient and able to handle a number of competing priorities, with excellent written and verbal skills in English. You will need a professional and friendly manner and be able to establish good working relationships with the SMT, the Board of Trustees, and with colleagues throughout the organisation. This position requires lots of energy, focus and adaptability.

Job description


Job focus

The Personal Assistant’s primary responsibility will be providing a wide range of essential organisational support to the CEO (and, when time allows, the COO) in all ClientEarth matters, including administrative assistance and diary management. In addition, this role will require a more substantive contribution to the organisation: in depth research tasks in various environmental fields. The Personal Assistant is also the main point of contact for all members of the Board of Trustees and the Senior Management Team (SMT), and manages all governance processes for the organisation.   


Working relationships

You will report directly to the CEO and the COO. You will work very closely with the CEO, the COO, SMT and ClientEarth Trustees and benefactors around the world. 


Job responsibilities

CEO support

  • Manage the CEO’s diary to ensure effective scheduling of meetings, events and activities;
  • Organise and manage ClientEarth events, including: fundraising events, staff summer party, Christmas party;
  • Act as a point of contact for internal and external enquiries in relation to the CEO;
  • Coordinate travel, accommodation and logistics for the CEO, the COO and SMT;
  • Assist the COO with similar tasks when time allows.


Governance management

  • Organise board meetings and board book;
  • First point of contact for Trustees and patrons;
  • Ensure filing of official documentation with the Charity Commission and Companies' House;
  • Construct meeting agendas and take minutes.


Research

  • Support the CEO and the COO with research to prepare for meetings and conferences on a broad range of environmental topics.


Experience & knowledge 

  • Minimum 2 years experience in a similar role (essential);
  • Good knowledge of administrative processes;
  • Experience of responding to competing deadlines and managing multiple tasks and priorities within a working environment;
  • Relevant international experience (desirable).

  • Excellent organisational skills and efficient management of multiple tasks and priorities;
  • Excellent interpersonal and teamwork skills, with ability to foster positive working relationships with diverse internal and external actors;
  • Diplomacy and ability to deal with confidential information on a regular basis;
  • Excellent writing, editing and verbal communication skills;
  • Ability to execute work independently and proactively;
  • Strong computer skills (Microsoft suite – Word, Excel, Outlook, PowerPoint, Wordpress and databases);
  • Ability and willingness to travel, nationally and/or internationally.


Location

This position will be based in London.


Salary

£24,000-£34,000 depending on experience.
