Job Title: Operations Director

Hours: Full Time

Reports to: Executive Director

Location: Washington DC

Start Date: On or about Wednesday August 14, 2013 

US Climate Action Network (USCAN) is seeking a dynamic Operations Director to ensure the smooth and efficient operation of the USCAN office and administrative functions. The Operations Director will also guide staff recruitment and hiring, manage grant applications, reports and proposals, aid in planning annual and monthly events and help USCAN staff reach programmatic goals on an ad-hoc basis. 

About US Climate Action Network (USCAN)

With 100 member organizations, USCAN is the largest US network of organizations focused on climate change. USCAN plays a critical role as the only network connecting organizations working on climate advocacy and policy development at all three levels of the debate in the US: state/regional, federal, and international, all of which are interdependent

USCAN’s mission is to support and assist civil society organizations to influence the design and development of an effective, equitable and sustainable global strategy to reduce greenhouse gas emissions and ensure its implementation at the international, national, and local levels. 

Finance

  • Create and manage the organizational budget in conjunction with the executive director;
  • Manage project specific budgets;
  • Manage billing and payment of invoices;
  • Invoice and collect membership dues annually. 

Administration

  • Manage employee benefits and all HR functions;
  • Oversee recruitment and hiring of employees;
  • Maintain filing systems for financial, organizational and grant-related documents;
  • Track grant deadlines, reporting, budgets and submission;
  • Oversee internal aspects of sub-grant programs, including disbursement of funds and grantee reporting;
  • Maintain the appearance and efficient operation of the office;
  • Manage office space and relationship with landlord;
  • Oversee office equipment and supplies;
  • Manage vendor and service provider relationships;
  • Coordinate and prioritize administrative needs with the executive director. 

Logistics, Campaigns and Communications

  • Manage the logistics and efficient operation of conferences including requesting proposals and pricing venues and vendors related to conferences;
  • Help staff accomplish project needs through administrative and logistic support;
  • Attend specific meetings as required;
  • Work with communications director to upload and maintain website and database;
  • Ensure efficient and positive staff communications through scheduling and managing staff meetings and retreats;
  • Collaborate with other staff on various program and operations projects such as conferences, action alerts and other activities. 

The ideal candidate will have following qualities, skills, and experience:

  • Ability to maintain accurate and detailed files and records;
  • An organized work style and personality;
  • Knowledge of and experience with the climate community;
  • Takes initiative and completes tasks;
  • Logistical skills in planning and implementing events and conferences;
  • Strong organizational and excellent communication skills;
  • Ability to multitask, prioritize, self-direct and manage time effectively;
  • Good team player with positive attitude;
  • Ability to communicate clearly, respectfully, and warmly—both orally and in writing;
  • General knowledge of policies and procedures specific to the requirements of a non-profit organization;
  • The desire to develop skills and stay with the organization for several years;
  • Demonstration responsibility, dependability and confidentiality in the performance of all job functions;
  • Proficiency in QuickBooks and accounting practices/procedures;
  • Proficiency in the skills in methods of organizing, outreach, communication and networking;
  • Interest in carrying out organizational goals and visions;
  • Desire to mitigate and prevent the worst effects of climate change.
