Job Title:  Operations Assistant, Washington D.C.

Department:  Conservation/WDC

Reports To:  Washington Operations Manager

Context:  Coordinates a wide variety of administrative operations functions for the Washington, DC office.

Scope:   The Washington Operations Assistant has specific responsibilities that relate to the overall administrative operations of the Washington, DC office. Provides program, issue and administrative support functions for public education, legislative and political programs while overseeing the reception/lobby area for visitors and staff. Provides substantive administrative support to the Associate Director of National Campaigns, National Field Organizing Director, Director for Conservation Program Effectiveness and the Washington Operations Manager. Provides general administrative support to the Washington, DC office.

Job Activities:

  1. Assists with special projects, meetings, and materials under the direction of the Washington Operations Manager. 
  2. Schedules appointments with congressional staff, reporters and administration officials as well as other environmental leaders as requested.
  3. Serves as the assistant to Senior Sierra Club leadership when they visit the Washington DC office.
  4. Assists with the coordination of services of outside vendors, office maintenance, and purchasing of equipment and supplies as directed by the Washington Operations Manager.
  5. Assists with the preparation of Washington DC vendor payments and office reimbursements.  Ensures proper coding of all expenses.
  6. Provides administrative and special project support for the Washington Operations Manager and DC Senior Management.
  7. Provides program and administrative support to Washington, DC staff.
  8. Assists with facility management, administrative management, and financial management of the Washington DC office.
  9. Maintains and updates appropriate information and organizational lists as required. This could include media, legislative and administration databases and websites.
  10. Answers a large telephone system courteously and takes messages for office staff as needed.
  11. Maintains the reception area, coordinates courier packages, assists with the distribution of daily mail and greets visitors and volunteers.
  12. Assists with ordering of general office supplies, equipment, and furniture.
  13. Assists with facility management.
  14. Assists with administrative and financial management.
  15. Performs miscellaneous duties as assigned.

Knowledge & Skills:

-- Associate’s Degree in Business, Finance, Accounting or equivalent combination of education and experience. 

-- Excellent writing and editing skills.

-- Strong verbal communication and presentation skills.

-- Strong organizational skills and ability to work effectively in fast paced office.

-- Ability to interact cooperatively and effectively with public, staff and volunteers.

-- Demonstrated proficiency with word processing (Word), spreadsheets (Excel) and financial management software (Quickbooks). 

-- Ability to maintain confidentiality in handling sensitive and confidential information and communication and to use tact and diplomacy in dealing with these matters.

-- Must be able to:

  • Work well under pressure and deadlines
  • Be flexible

This position is represented by a collective bargaining unit and is subject to the terms and conditions of the contract between Sierra Club and John Muir Local.
