Global Generation Office Manager

Responsible for the running of the Global Generation office

Reports to Executive Director  

1 year contract  with the potential of extension,  funding dependent

2.5 days a week - Wednesday and Thursday in the office with 0.5 day to pick up emails spread across the week (can be done from home)

 

Salary£22k  pro rata (2.5 days per week)

Job Purpose

To organise and supervise all of the administrative activities that facilitate the smooth running of the Global Generation office, including Finance, IT and support to the Executive Director

Organisational Context


Global Generation has an established network of urban food production growing sites in Kings Cross. The sites are on the Kings Cross development site, in schools, on housing estates and on top of office buildings. Our work is focussed on the development of the whole person, providing support for young people to become catalysts for change in their communities. To this end, we integrate values based reflective learning into practical sessions enabling young people to grow themselves, grow relationships and grow a new vision for the future.


The food we grow gets used in our Skip Garden cafe - a transformed portacabin - involving local young people and local businesses.  Young people also have the opportunity to work alongside local business employees in the development of food growing sites, gain work experience opportunities and set up shared initiatives such as the Honey Club, a social enterprise founded by Global Generation, a group of Generators, and staff from branding agency Wolff Olins.

Main Duties and Responsibilities


Administration

  • Liaise and support Executive Director in administrative tasks, especially linked to correspondence with external people wishing to have more information on GG and organising visits

  • Monitoring – develop, manage and update a simple system that everyone understands and follows regarding requests, number of people who come to the Skip Garden (as part of programmes, open days and random visits), numbers for funders

  • Develop and implement new administrative systems, such as record management

  • Organise the office layout and maintain supplies of stationary and equipment

  • Support the programme team with sourcing and preparing materials needed for workshops

  • Answer booking queries and organise venue hire


Finance support

  • Responsible for the end of month credit card statement and liaising / chasing people to ensure all expenditure is correctly coded

  • Work closely with the GG Finance Manager to support in any other finance tasks


IT support

  • Liaise with the Guardian’s IT department to ensure Global Generation’s IT systems work efficiently and take initiative to fix any problems


HR and recruitment support

  • Help with advertising new posts and pulling together all applicants in ordered way


General Duties

  • Attend meetings as required

  • Represent Global Generation as required

  • Programme support on occasion

Essential Skills and Experience


  • Experience of office based and administrative work

  • General IT skills, e.g. Microsoft office

  • Good understanding of finance based tasks

  • Experience of monitoring

  • Great organisational skills

  • Ability to take initiative

  • Supportive and flexible

  • Empathy with  Global Generation’s ethos and interest in values based learning

  • Interest in working with young people and the natural environment
