Position Summary This position is responsible for the overall management, performance, and cost-effectiveness of administrative systems in the Central Region Office of The Trust for Public Land, as well as assisting with administrative support for Regional staff. Essential Functions Office Management & Administrative Support—70% - Serve as Receptionist for the office. Serve as first point of contact for general inquiries from landowners, press, and affiliated organizations. Answer phones, greet visitors, schedule conference rooms, arrange for beverages or catering as necessary.
- Process mail and deliveries as requested by staff. Open and sort all incoming mail. Coordinate internal mail between Central Region Office and other TPL locations.
- Serve as liaison to landlord, vendors, professional contractors and repair and maintenance professionals to insure a smoothly functioning office.
- Maintain files including archived records.
- Evaluate, purchase and maintain office facilities and systems including office supplies, furnishings, equipment, and phone systems.
- Anticipate need for and then develop new methods and procedures to increase effectiveness and efficiency of the office.
- Inform staff of general office procedures and provide instructions and support for office equipment including printers, copier, fax and phones.
- Maintain inventory of all furnishings and equipment throughout region and coordinate insurance with corporate office.
- Assist with planning and organizing occasional regional and national meetings for both on and off site locations; book facilities, make meeting and catering arrangements, arrange conference calls and/or moderately complex telecommunication links.
- Organize and maintain inventory of marketing and collateral materials.
- Coordinate and manage the Central Regional calendar and activities. Provide the central point of contact for the Regional calendar and distribute updates to the calendar monthly.
- Provide the central point of contact for scheduling meeting rooms and post schedules at each room daily.
Finance/Accounting—20% - Review, route for approval, copy, file and process all vendor invoices.
- Issue invoices for various services and materials as necessary and process payment received.
Other Responsibilities—10% Takes responsibility for all other procedures necessary to maintain efficient upkeep of office. Works on special projects as assigned. Qualifications - Must possess a strong customer service orientation.
- Proficiency with Microsoft Office, Word and Excel.
- Excellent organizational skills.
- Able to assume responsibility, use good judgment, take initiative, and make recommendations in resolving problems.
- High school diploma and AS or AA (2 year college degree).
- Minimum 2 years support experience in office administration.
- Superior written and oral communication skills.
- Ability to use math, follow complex procedures, and perform simple analyses.
- Knowledge of standard office procedures, administration, and bookkeeping.
- Ability to determine methods and procedures on new assignments and provide guidance to others as necessary.
