The Union of Concerned Scientists (UCS) seeks an Office Manager to support 15- 20 staff in our Oakland City Center office, ensuring that the office runs smoothly and efficiently by handling support, reception and the office budget; You will provide on-site support for our IT vendor. You will also coordinate organization-wide sustainability efforts.

Responsibilities

  • Building management: Oversee day-to-day building management  for Oakland office
  • Budget:  Create and monitor budgets for the Oakland office and UCS’s sustainability budget.
  • IT support and vendor coordination:  Work with external IT vendor, assisting when vendor needs someone on site. With support from the vendor, provide onsite maintenance and troubleshooting.
  • Receptionist and video conferencing support: Serve as primary receptionist and provide technical support for video conferencing. Manage the conference room and resolve reservation conflicts.
  • Office equipment /supplies:  Coordinate service contracts, equipment leases and maintenance of equipment. Negotiate service contracts. Research and select appropriate vendors for supplies.
  • Coordinate sustainability efforts: Lead ongoing UCS sustainability efforts, using established sustainability procedures to ensure that UCS remains on the cutting edge of sustainable organizational practices. Lead internal Sustainability Task Force and manage annual sustainability reporting for UCS.

Qualifications and experience

  • Thorough knowledge of office management and administration, purchasing, office equipment maintenance
  • At least one year of office experience involving IT responsibilities and support
  • Strong organizational , customer service skills and budget management skills are required
  • 3-5 years previous administrative support experience
  • Must be able to use small hand tools to make minor repairs. Ability to lift/move 50 lbs.
  • Knowledge of sustainable business and office practices is a plus
  • Demonstrated ability to work as part of a team as well as independently. Reliability, resourcefulness, and excellent communications skills are required
  • Evidence of ability to manage situations involving multiple roles and work well under the pressure of deadlines
  • Sense of humor preferred

May spend extended periods at computer terminal.  Must be able to lift 50 lbs.  Some travel (1 -2 trips per year) necessary.

Compensation, Hours and Location: This is a full-time position based in UCS’s Oakland, CA office. For candidates who meet all position requirements, the salary is around $47,000. UCS offers excellent benefits and a rewarding work environment.
