Summary of Position: The primary duties of the Office Director include general office management and the overall management of ERC’s constituents.

The Office Director reports to the Executive Director and works closely with and actively assists the Executive Director and other ERC staff to assure the smooth, efficient operation of the ERC office, including assisting the Executive Director in communications with the ERC constituents, Board of Directors and the public.

The position is 20-24 hours a week, requiring only occasional evening and/or weekend hours, and requires work in the ERC office in Ketchum, Idaho. Hourly wage is commensurate with experience and ranges from $15-$20 / hour.

Responsibilities include but are not limited to:

Office Management:

  • Assist Executive Director and staff to assure smooth, efficient office operation, maintain office supplies, and equipment.

  • Assist in preparation for meetings of the Board of Directors and Executive Committee, including preparation of agendas, minutes, staff and financial reports. Serve as recording secretary at Board and Executive Committee meetings.

  • Assist with the creation and production of general correspondence, donation acknowledgements, renewal notices, newsletters, and other mailings and special appeals.

  • Assist with financial management tasks, including processing all incoming donations, payments and other receipts, preparing relevant reports, invoicing and bill coding.

  • Proofread and edit press releases and other written materials.

  • Assist with maintaining the ERC constituent database.

  • Assist with organization of events, i.e., fundraising, meetings, etc.

  • Serve as a primary person to greet visitors, answer telephones and gather and distribute mail

Membership Management:

  • Manage the ERC constituent database (Ebase) to insure the timely and complete entry of relevant data, including information about payments and contacts.

  • Coordinate membership cultivation strategies.

  • Coordinate the membership renewal process, including the drafting of letters, tracking of responses, and acknowledgement of gifts.

     

  • Assist in the design, production, and distribution of marketing materials, including brochures, case statements, letters, newsletters, and posters.

  • Assist the Executive Director in managing calendars and scheduling meetings with constituents, prospects, board members, and community leaders.

  • Perform related work as apparent, needed, or assigned.

  • Work with volunteers to assist in any of the above tasks

 Preferred Qualifications:

  • Bachelor's degree or equivalent training and/or experience.

  • Organized, detail-oriented, able to set priorities, manage time as well as multiple projects and deadlines

  • Strong interpersonal, verbal, and written communication skills

  • Computer skills including Microsoft Excel, Word, and Outlook.

  • Commitment to conservation and the mission and work of the ERC.
