Job description

Our new Office Assistant will play a key role in ensuring that work at the SEI Stockholm Centre flows smoothly. The position offers an excellent opportunity for a self-propelling and service-minded person to provide day-to-day support to a number of key people in the organisation, as well as contributing to a well-functioning office environment to the benefit of the whole research staff.

The Office Assistant will work half time together with the Centre Director and the three group leaders at the Stockholm Centre and half time with general office support at the Stockholm Centre.

The position requires an individual with excellent inter-personal skills who is comfortable working in a multi-cultural, multi-disciplinary environment. It requires a high level of professionalism, organizational skills and a positive attitude in even the most stressful of situations. The individual should be an excellent communicator, fluent in both Swedish and English, and able to take the initiative on tasks to support the Centre Management.  A certain level of entrepreneurship will be required to find solutions to challenges as they arise.

This position is based at the SEI Stockholm Centre where we have approximately 60 staff members.

 

Key functions include:
  • Support and assist the Management at the Stockholm Centre as requested.
  • Assist research staff with administrative duties as requested.
  • Assist with event planning and implementation
  • Meet and greet external visitors
  • Ensure that the office and office equipment is properly maintained
  • Maintaining office facilities by participating in the planning of office space, purchasing of office supplies, and procurement of furniture and equipment
  • Set up internal and external meetings
  • Provide materials, etc. required by the MT prior to meetings, workshops, etc.
  • Support preparations and be present at all management meetings to take minutes, write and edit the minutes and communicate with senior officials for follow-up.
 
Reports to:
The Stockholm Centre Director
 

Qualifications

  • At least 3 years of experience in a similar position, preferably in an internationally-oriented organisation
  • Well-documented administrative talent.
  • Fluent in English and Swedish in spoken and written language, formal and informal with an emphasis on English. Being a native English speaker and knowledge of additional languages is an advantage.
  • High integrity and social skills.
  • Self governed and independent.
  • Excellent MS window office skills.
 
Duration
Two years with possibiltiy of contract extension or development of permanent position. All employment at SEI includes a 6 month probation period.
