ESSENTIAL FUNCTIONS
• Works as needed with Regional staff and accounting vendors to ensure that: financial operations comply with country and TNC requirements, books and records are kept to satisfy local law and TNC procedures and disbursements are correctly booked.
• This position is responsible for administering and managing the day-to-day office administration services and/or program support for an Operating Unit (OU) or department.
• Provides program support including assisting in the development of educational materials, conducting program data research, and/or producing narrative reports as needed.
• Coordinates such activities as central administrative processes (facility management, telecommunications, general maintenance/repairs, central services, mailroom operations, central filing, telephone/public reception and/or printing) or managing office supplies, general purchasing requests, and general office duties.
• Acts as the point of contact for human resources, key user for information systems, and/or financial/accounting issues/activities and provides other services in support of TNC projects/programs.
• Provides guidance to subordinates in satisfying the administrative requirements on projects/programs based on extensive knowledge of TNC policies and procedures.
• This position includes frequent interaction with all members within the organization as well as vendors and business relations.
• Handles domestic and international travel arrangements and logistics for meetings and training events as needed. 
• Monitors and/or oversees budget execution and may review schedules, purchase requests, ensuring they are completed in an accurate and timely manner.
• Researches and selects sources, approves purchase orders, controls prices and quality and develops schedules for delivery of products.
• May prepare accounting forms and disbursement requests, monitor income and expense budgets and review internal financial reports.
• The functions may also involve various office tasks including some or all of the following: answering phones, sorting/distributing mail, maintaining equipment, ordering supplies, working with vendors, drafting correspondence, maintaining logs and costs, organizing and filing.
• May be certified and act as Certified Contracts Specialist being the point of contact in the administrative workflows of The Nature Conservancy contracts and partner agreements,  providing oversight for contracts and grants, ensuring compliance with internal policies and procedures and local  laws.
BASIC QUALIFICATIONS
• Bachelor’s degree and 2-3 years related experience, Associate’s degree and 4 to 5 years related experience or equivalent combination.
• Experience coordinating multiple central administrative processes, such as facility management, telecommunications, general maintenance/repairs, central services, mailroom operations, central filing, telephone/public reception, printing, maintaining office supplies, and/or general purchasing requests, or equivalent.
• Experience in customer service and/or written/verbal communication with a wide range of people including employees, the public, vendors, or others.
• Supervisory experience required.
• Basic knowledge of office moving and remodeling procedures.
• Basic knowledge of local laws applicable to office operations.
• Experience using MS office, Word, and Excel. Experience using advanced computer functions including navigating the Internet.  Experience manipulating, analyzing and/or interpreting data.
• Fluency in Spanish and English.
ADDITIONAL JOB INFORMATION
KNOWLEDGE/SKILLS:
• Bachelor’s degree and 2-3 years related experience, Associate’s degree and 4 to 5 years related experience or equivalent combination.
• Excellent verbal and written skills in English and Spanish. 
• May require supervisory experience, including ability to set objectives and manage performance.
• Experience in MS Office, Word and Excel, and Power Point.  May require database management skills.  Ability to use advanced computer functions including navigating the Internet. Ability to manipulate, analyze and interpret data.

RESPONSIBILITY/OVERSIGHT – FINANCIAL AND SUPERVISORY:
• Purchase equipment and supplies as provided for in the budget.
• May assist in budget preparation.
• May supervise administrative staff and/or volunteers, interns, or temporary staff.
• Duties are performed under minimal supervision.

COMMUNICATIONS/INTERPERSONAL CONTACTS:
• Communicate with internal and external contacts to seek or convey information and coordinate arrangements.
• Work and communicate effectively with a wide range of people, including employees, the public, vendors, and people with different cultural backgrounds.
• Provide a variety of information to staff and others to assist workflow throughout the organization.
• Familiarity with standard business communications; ability to draft and edit correspondence and other written materials.

WORKING CONDITIONS/PHYSICAL EFFORT:
• Work performed in a general office setting.
• Ability to work in a fast-paced, stressful environment and manage deadlines. 
• Work requires only minor physical exertion and/or strain.  Work environment involves only infrequent exposure to disagreeable elements.
• May require willingness to travel and work flexible hours.
