Job Status:Part time (30 hrs/wk)                                      
 
Primary Purpose of the Position:   
 
To manage the Midwest Regional Office, support work on the Midwest Capital Campaign, and support NPCA’s campaigns to protect our national parks.
 
The Administrative Coordinator will organize NPCA’s Midwest Regional Office so that it operates efficiently and professionally. The Coordinator’s primary roles will be to manage and implement the administrative needs of the Midwest Region and assist with specific program functions and fundraising activities as appropriate, including scheduling, managing, and implementing meetings and events, preparing reports, managing newsletter and other publication schedules and content, and handling office and donor/foundation correspondence. The Coordinator will also provide program support when necessary. This position will serve as the main point of contact for inquiries from NPCA’s Washington, DC office to ensure consistent communication and coordination with national campaigns and programs.
 
 

 

Essential Functions

Provide support to the Development Director and Regional Director relating to NPCA’s fundraising efforts including scheduling travel, setting up donor meetings, assisting with planning and logistics for conferences, tours and donor events. Responsible for database management using BBEC software program. Also assist with donor research and correspondence.

Oversee all monthly administrative and office functions, including expense reporting, invoice and contract processing, monthly budget review and reconciliation, and equipment maintenance; Serve as the first point of contact for public and internal inquiries of information needs. Also work to keep the Midwest website, intranet and social media sites updates. Write articles for and manage production of two to three Midwest Field Reports annually, and create fact sheets, reports, memos when needed.

Assist the Midwest staff with park protection campaigns and NPCA Congressional and strategic priorities as appropriate.

Minimum Work Schedule: 30 hour work week; flexible depending on candidate and office needs.
 
 
Minimum Scope of Position:  Interacts with internal NPCA staff, and a wide variety of people and interests (conservation advocates, political leaders and staff, donors, members, general public, vendors, community leaders, media).
 
Minimum Qualifications, Competencies, Skills, Education, and Traits:
  • Bachelor’s degree or equivalent required.
     
  • One - two years of experience in administrative/office management. Preference for familiarity with non-profit or conservation advocacy, resource management, or historic/cultural preservation.
     
  • Proficiency in using MS Word, Excel, PowerPoint, the Internet and social media platforms is required. 
     
  • Strong and proven excellent written and oral communications skills, including one on one and in groups.
     
  • Proven ability to manage time effectively, coordinate multiple projects, handle details, work effectively under pressure with moderate supervision. 
     
  • Demonstrated ability to organize tasks, manage and meet deadlines, set and observe priorities, maintain schedules, and produce high quality work is required. 
     
  • Proven ability to build relationships and work with a wide diversity of people and organizations across political and interest boundaries.
     
  • Results- and service-oriented team player.
