Job Title:                                          Membership OfficerWorking hours:                                               32 hours per week Salary:                                               £13,900 per annum, pro rataStatus:                                              This is a permanent post subject to successful completion of six month probation period. Job summary: To assist the Membership Co-ordinator in the running of CAT’s membership department, including database maintenance and general administration, mail-out of membership magazine and annual conference arrangements. Responsibilities Membership·      Answering membership telephone/email enquiries and providing an excellent level of customer service·      Processing membership applications·      Assisting the membership team in advising members encountering problems with membership application and processing·      Sending renewal reminders every month·      Ensuring all direct debit payment systems are current, optimal and comply with all legislation·      Processing direct debit payments·      Assisting and training others throughout CAT in the use of Direct Debit systems.·      Bankers Orders – try to faze out·      Processing all Gift Aid related queries and preparing the Gift Aid claim for the tax office. Database·      Developing membership database systems to provide an efficient and effective means of managing CAT members. ·      Evaluating alternative database systems.·      Developing database reporting and statistical systems.·      Backing up the databases on a daily basis. Mail outs·      Liaising with printers and mailing house to ensure accurate, efficient mailings.·      Preparing database for exporting to produce mail out lists and sort data.·      Liaising with staff to ensure all required materials are provided for mail outs.·      Ensuring all mail out costs are recorded and wherever possible reduced.·      Exploring ways in which mail outs can be improved.  Members’ Conference·      Assisting the membership team with the planning and administration of the members’ conference, including attending the event. General administration·      Assisting with the writing and maintenance of membership procedural documents.·      Assisting membership team to manage post, phone calls and day to day filing.·      Co-operative rota duties as required e.g. staffroom clear-ups, meetings, guided tours, involvement in CAT groups.·      Occasional Visitor Centre Reception cover, as required·      Undertaking other duties as required by the organisation. All Permanent Staff – Co-operative Duties 
  • To attend a minimum of 6 monthly staff meetings per year (or such other number as may be agreed with the Management Group).
  • To consider issues presented to the staff body and be involved in the consensus decision-making process regarding such issues.
  • To input to policy development when policies are proposed by the Directions Team
  • To input to the strategy process when requested by the Directions Team.
  • To comply all CAT’s policies and processes as they are amended from time to time. To read and act upon policies and processes as they are approved.
  • To be responsible for own health and safety plus that of others as defined in the job description. To report to the Health and Safety Committee any matters of concern regarding health and safety.
   Person specification Essential
  • Reliable and competent administrator- well organized with excellent attention to detail.
  • Previous experience of administration work.
  • Computer literate, MS Word and Excel, Email and internet.
  • Good oral and written communication skills.
  • Numerate.
  • Ability to work as part of a team and interest in CAT’s co-operative management structure.
  • Good time management
  • Ability to work under own initiative when appropriate
  • Ability to maintain professional confidentiality.

Desirable

  • Experience of working with databases.
  • Experience of the Filemaker Pro database system.
  • Experience of administering financial systems.
  • Experience of customer care especially via telephone.
  • An interest in and knowledge of sustainability/environmental issues.
  • Ability to speak Welsh.
