The Membership Assistant for Donations and Acknowledgements is a detail-oriented, member-focused support position in the Center for Biological Diversity’s busy Membership Department, serving the larger organization and more than 40,000 members worldwide. The position is full time in our Tucson office and is directly supervised by the Membership Associate. The Membership Assistant will also work with other development staff and regularly interact with the public. The Assistant’s role is to be a team member, but he/she will complete many tasks independently, including but not limited to the primary responsibilities and duties listed below.

Primary responsibilities:

  • Daily reviewing and verification of donations in membership database
  • Generating, printing and overseeing mailing of weekly donation-acknowledgment letters and welcome packets
  • Phone calls, emails and letters to members, mostly related to preferences, donations or contact information
  • Supporting other Membership staff in responsive contacts with members, primarily by email and phone
  • Maintaining records in membership and activist databases
  • Managing volunteers for both weekly acknowledgements and general volunteer needs

Duties to include:

  • Entering and processing donations (on an as-needed basis)
  • Maintaining supply inventory for sending weekly donation-acknowledgment letters and welcome packets
  • Coordinating volunteer schedules for assembling weekly acknowledgment-letter mailings
  • Updating member records in membership database, including returned mail and no-mail requests
  • Helping oversee preparation of materials and volunteers for tabling/public outreach at community events and after-event follow-up
  • Responding to member emails
  • Processing daily information from membership vendors for accuracy and member follow-up

Required skills:

  • Must demonstrate ability to complete detail-oriented work with high level of accuracy
  • Outstanding customer service skills, particularly as communicated via email and telephone, a must
  • Ability to work in fast-paced, multi-channel communication environment with immediate and long-term tasks
  • Experience working with volunteers a plus
  • Must be reliable, consistent, organized and self-motivated
  • Mid-level computer skills necessary (Word, Excel) although database training will be provided. 
  • Sense of humor and respect for co-workers
  • Interest in endangered species protection and conservation work is desirable, since the assistant will help represent our work well to our membership and the public
