Earthjustice is seeking a Major Gifts Administrative Coordinator to join its high-performing Major Gifts team. Currently based in Oakland, California, this position is an exciting opportunity to join a dynamic and successful fundraising department at a leading national environmental organization.

The successful candidate must be a self-starter who is able to work both collaboratively and independently and possesses strong interpersonal skills. The position requires excellent writing and analytical skills, and the ability to think creatively. The MG Administrative Coordinator must be able to manage multiple projects simultaneously, meet deadlines, and be detail-oriented.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Fundraising Support
• Provide administrative and data support to major gift officers’ field work and donor events.
• Research, draft, and assemble information for customized fundraising proposals and correspondence. Collaborate with development writer on projects.
• Research and prepare collateral materials, working with development, communications and program staff as needed.

Management of Database Functions for Major Gifts
• Function as a power user of the donor database for the MG team, and for the department as a whole.
• Work with Director of Operations and Database Manager on identifying and implementing enhancements or introducing new database functionality to MG team and ensuring overall MG data integrity.
• Responsible for timely and accurate updates to donor records and portfolios.
• Prepare queries and reports as needed for MG regional strategy development, portfolio management as well as for cultivation and solicitation purposes.
• Support MG and Development team in special projects related to the database, such as donor screenings, event guest lists, etc.

Manage Major Gifts Cultivation & Stewardship Mailings
• Sets mailing calendar and serves as project manager for all elements of major gifts cultivation and stewardship mailings, including victory postcards, program updates, etc.
• Manage expenses for mailings and prepare budgets for mailing program.
• Draft, edit, and design a variety of printed materials for major gift donors and prospects.
• Responsible for timely personalized acknowledgement of all major gift contributions.

Support for Director of Major Gifts
• Assist Director of MG in maintaining portfolios, monitoring staff metrics, producing standard reports and program analysis.
• Provide additional support and special project support to the director as needed.

General Responsibilities
• Represent MG team or serve as a liaison with other development teams and broader organizational staff as needed.
• Participate in department and organizational work teams as needed.
• Annually update major gifts staff resource manual.
• Other duties as assigned.
• May oversee temporary or part-time Major Giving assistants, interns, and volunteers.

JOB QUALIFICATIONS
• Bachelor’s degree.
• Three years’ combined experience in development, marketing, customer service, or an alternate combination of relevant experience.
• Superior writing, research, and communication skills.
• Excellent organizational skills and attention to detail required.
• Ability to think strategically and creatively.
• Ability to work with grace under the pressure of multiple deadlines.
• Ability to work as a member of a team as well as independently.
• Ability to handle confidential information with discretion.
• Strong computer skills including databases, Microsoft Office, Adobe Creative Suite, Quark or other desktop publishing programs a plus.
• Background and/or interest in, and commitment to, the environment.
• Occasional evening and weekend work required; willingness to travel as needed.
