Job Title: Legal Operations Manager

Department: Conservation

Location: San Francisco, CA

Reports to: Legal Director

Supervises: Program Assistants

Context: Provides oversight, leadership and coordination of all legal program operations, including finance and accounting, human resources, document management, information technology, public outreach and facilities. Manages the daily operations of the legal department.

Scope: The Legal Operations Manager is responsible for the management, coordination and oversight of all daily operations for the legal department, including staff support services, financial reporting, regulatory compliance, expense control and budget monitoring, public outreach, information and communications systems, safety and security, vendor relationships and contracts, equipment and space needs and building management for a 30 person department in three locations.

Job Activities:

1) Assists Legal Director with budget management. Establishes appropriate expense control and monitoring procedures and systems, does related office budget status analysis and reporting, coordinating closely with San Francisco Conservation Operations staff. Oversees and approves the reimbursements process and reconciliation reports.

2) Manages all office support systems and services, including information and communications systems, building maintenance, service contracts, safety and security, equipment lease and purchase, vendor contracts and relationships. Coordinates and researches office space needs as demand dictates and coordinates with San Francisco Finance staff to maintain subleased satellite office space.

3) Works with Legal Program managers to assure all procedures and processes for hiring and supporting new employees, including posting positions, completing all necessary paperwork, office orientation, etc.

4) Implements appropriate office safety and security procedures and ensures that staff are informed and trained. Assesses and improves procedures periodically.

5) Working with the Legal Director, schedules programs to address common staff professional development needs.

6) Works with the Legal Program management to plan and carry out staff and volunteer meetings and retreats. Ensures that follow-up actions, plans and decisions are communicated and tracked.

7) Provides guidance an oversight to direct reports:

a. assigns work, establishes clear performance standards and work priorities;

b. ensures his/her staff receive the necessary professional training and support to successfully carry out their jobs;

c. provides ongoing performance feedback, prepares and conducts formal performance planning and evaluation;

d. makes recommendations regarding salary, hiring, and promotion decisions.

8) Assists Legal Director with public outreach initiatives including legal website and e-newsletter. Collaborates to support the Sierra Club Foundation and Advancement staff to plan and execute donor and fund-raising events as needed.

9) Coordinates with Conservation, Communications and Advancement Departments to meet established goals of Legal Director for building and maintaining his relationships.

10) Performs miscellaneous duties as required.

Knowledge & Skills:

-- B.A. Degree Management, Systems, Accounting, Finance or other Business related area.

-- 3 year's experience managing office operations, preferably in a legal environment.

-- 1-2 year's experience supervising staff.

-- Excellent communication skills.

-- Ability to handle complicated financial and contractual relationships

-- Ability to maintain confidentiality in handling sensitive and confidential information and communication and to use tact and diplomacy in dealing with these matters.

-- Demonstrated project management skills.
