The LEED Certification Associate will provide efficient and comprehensive administrative support to the certification team at GBCI. This includes data entry and processing, customer service and support, and administration of shared technology resources such as network drives, shared email folders, and LEED Online. The associate will work closely with LEED reviewers to facilitate the best possible customer experience for LEED project teams throughout all aspects of their engagement with GBCI.

Specific Responsibilities Include

Primary responsibilities

  • Serve as the primary point-of-contact for one or more LEED review teams, responding to inquiries related to certification reviews and policies, post-application customer service, weekly review capacity, and current review queues
  • Administer GBCI’s customized LEED project tracking software, including data entry, database updates, report generation, and workflow tracking
  • Monitor weekly certification metrics, staff review team and QC assignments, and external review team and QC assignments
  • Create purchase orders, sales orders, invoices, promotional codes, check requests, and other accounting documents
  • Track and manage submittals requiring processing outside of LEED Online
  • Maintain up-to-date registered project lists and monitor weekly volume of submittals
  • Monitor certification payment processing and manage invoices and ordering process for third-party vendors
  • Support the certification team staff by managing user profiles and login information in multiple systems
  • Create and maintain stock responses for relevant email templates for LEED Online, payment process, and other tasks as appropriate
  • Manage customer data in GBCI’s ERP and CRM software tools
  • Respond to data requests from the certification team, customers, and/or other departments
  • Perform administrative duties for specific LEED rating systems and programs, as necessary
  • Deliver top-quality phone and email customer support, as necessary

Additional responsibilities may include:

  • Perform quality control (QC) review of work done by external review teams
  • Review project documentation to determine compliance with LEED requirements
  • Assist in conceiving and developing improvements to LEED and the certification review process based on personal experience and vision, or user feedback.
  • Tabulate/analyze QC metrics and prepare quality reports
  • Create and compile project team surveys regarding quality issues
  • Prepare training materials and/or reviewer resources with subject matter experts
  • Coordinate/Assemble documents for post-review audits
  • Liaise with the GBCI Technical Customer Service Team, providing technical and process-related support as necessary
  • Schedule, coordinate and manage recurring calls and/or meetings with external review teams, project teams, or GBCI Certification Staff; Record and distribute meeting minutes in a timely manner
  • Create and process scorecards for LEED-certified projects, post to GBCI Web site
  • Ship and receive packages, track all related data
  • Other duties as assigned

Education and Training Requirements/Preferences

  • Bachelor’s degree in a field of study related to one or more of the following specialties:
    • Architecture (architecture, landscape architecture, interior design)
    • Engineering (mechanical, civil, structural)
    • Planning (urban/transportation/environmental planning, urban design)
    • Building Operations (facility management, property management)
    • Environmental Science (ecology, biology, environmental management)
  • LEED Green Associate required (at time of hire or within one year of hire), LEED AP with Specialty preferred
  • Proficiency in various computer systems and IT software strongly preferred (Adobe Lifecycle, Javascript and other scripting language, Microsoft Visio, Office Suite, etc.)
  • Individuals with specific language skills, a plus:
    • Spanish, French, Italian, Portuguese, Mandarin, and Arabic

Experience Requirements

  • Minimum 1 year relevant professional experience working in an office environment

Other Required Skills and Qualifications

  • Strong computer skills, including proficiency in MS Office suite
  • Knowledge of SAP r/3 and LEED-Online preferred
  • Detail-oriented and able to prioritize
  • Excellent judgment, analytical thinking, and problem-solving skills
  • Excellent written and verbal communication skills
  • Willingness to self-initiate
