ESSENTIAL FUNCTIONS
 

The Program Assistant provides administrative and clerical support for the Kaua?i Program operations and will work closely with the Deputy Director.  This includes but is not limited to assisting with:

  • Accounting, budgeting, and expense tracking.
  • Coordination of logistics for special projects, events and meetings.
  • Organization and maintenance of equipment and supply inventory.
  • Maintenance of vendor relations and accounts.
  • Phone system management and internal technical support of computer systems.
  • Organization and maintenance of programmatic files.
  • Coordination of office and field communications, and field logistics. 
  • Planning, administering, and recording results of work-team meetings and activities.
  • Other duties as assigned.
 
BASIC QUALIFICATIONS
 
  • High School diploma or equivalent plus 1-2 years of relevant administrative or clerical support experience. 
  • Experience using MS office, Word and Excel, and navigating the Internet.
  • Experience providing administrative support including the following:  phones/customer service, mail distribution, equipment maintenance, drafting correspondence, coordinating travel arrangements, tracking expenses and budgets, and related activities.

PREFERRED QUALIFICATIONS

  • Some college or higher education preferred.
  • Excellent verbal and written skills in English.
  • Strong administrative and clerical skills with attention to detail.
  • Experience tracking expenditures for multiple projects and deadlines.
  • Ability to manage multiple priorities, with assignments originating from a number of sources and be able to work independently and as part of a team.
  • Power Point and Access Data Base Management skills preferred. 
  • Service oriented.  Courteous, personable, tactful and able to deal effectively and sensitively with all levels of staff and public.
  • Demonstrated flexibility to changing situations and priorities.
  • Strong communication skills and organizational skills.
  • Driver’s license.
