Human Resources Assistant

CAT Job description

Job title:  Human Resources (HR) Assistant
Responsible to: Human Resources Manager
Responsible for: Volunteers from time to time
Salary:
£13,900 per annum
Hours:  40 hours per week
Contract:  Permanent subject to a satisfactory completion of a 6 month probation period.

Job Summary
The HR department is a crucial core service department, servicing more than 100 permanent staff, plus seasonal staff and both long and short-term volunteers.

The role is varied and will involve working closely with the Human Resources Manager and other departments to ensure that the HR administrative processes run smoothly and to provide an information resource for the Organisation.

The role would suit someone looking for a challenge within a constantly evolving environmental Organisation. It offers much scope to contribute to the development and success of the organisation.

Responsibilities
Under the guidance of the HR Manager, to assist with the following:

1. Strategic

  • Providing data and information to inform the Human Resources strategy and budget
  • To assist with providing information to develop measures to reduce staff turnover

2. Employment law

Under the guidance of the HR Manager, to be aware of and keep up to date with employment laws and practices including:

  • Working conditions, workplace safety (e.g. workstation assessments), disciplinary and grievance procedures, equal opportunities, redundancies, paternity and maternity rights
  • To administer Human Resources policies and procedures, ensuring that the correct versions are on the intranet and made available to all staff

3. Recruitment

Under the guidance of the HR Manager assisting with ensuring a quality staff recruitment and selection process, ensuring that timely, organised and comprehensive procedures are used, with a particular focus on:

  • Providing advice and assistance on staff recruitment to departments
  • Producing job descriptions in consultation with relevant staff
  • Preparing and placing job advertisements
  • Scheduling and organising interviews
  • Communicating with applicants and informing applicants of decisions taken
  • Requesting reference checks
  • Issuing employment contracts
  • Liaising with the finance department in relation to payroll matters
  • Arranging exit interviews
  • Updating and maintaining the HR database

4. Staff Development

Assisting the HR Manager with providing support and information to line managers to help them develop the skills and capabilities of their staff, including:

·         Ensuring that accurate job descriptions are in place and uploaded onto the intranet

·         Assisting with the documentation of the performance review/appraisal process, and administering systems to ensure that review dates are known by relevant staff

·         Assisting with identifying training and development opportunities, and maintaining a database of training providers

·         Undertaking  staff orientations and inductions including ensuring that new staff complete all relevant paperwork and are booked onto the staff induction programme

·         Arranging  staff training sessions in areas to do with staff development such as mentoring, conducting reviews/appraisals, interview techniques, time management, customer service etc

5. Staff performance and monitoring including:

Assisting the HR Manager with:

  • Monitoring and providing information to relevant Managers on recruitment, sickness and absence, and other kinds of leave
  • Administering solutions to resolve chronic attendance difficulties, organising return to work programmes where necessary

 6. Volunteer schemes

The Centre hosts 1 week ‘short term’ volunteers throughout the summer months and 6 month ‘long-term’ volunteers attached to particular departments during both the summer and winter seasons. It is also in the process of developing an ongoing local volunteer scheme. Responsibilities include:

·         Administering the long term volunteer scheme, ensuring that all placements are advertised and enquiries answered regarding placements. Liaising with relevant departments where required.

·         Arranging and booking  short term volunteer weeks

7. Site Community properties

The site community comprises 9 onsite residential properties and 1 offsite residential property. These are occupied by staff members and long-term volunteers. Responsibilities include assisting the HR Manager with:

  • Liaising with site community as necessary
  • Administering the property rentals including ensuring that all tenants have the correct tenancy licenses and arranging collection and refund of deposits
  • In liaison with the Technical Manager, arranging for properties to be inspected after tenants leave and co-ordinating remedial work to be carried out as necessary
  • Co-ordinating annual property inspections and regular rent reviews

 8. General duties

  • To provide information to inform HR updates to the Operations Team
  • To maintain efficient and effective administrative systems, including the HR database and liaising with other departments as required
  • To maintain confidential Personnel files for all employees and volunteers
  • To liaise with payroll staff and to provide accurate employee information
  • Administer all appropriate disclosure schemes for the Organisation

 Co-operative Rights and Duties
This is a permanent post and as such has voting and attendance duties regarding the wider management of
CAT

  • To attend a minimum of 6 Monthly Staff Meetings per year
  • To consider issues presented to the staff body and be involved in the decision-making process regarding such issues
  • To input to policy development when policies are proposed by the Directions Team
  • To input to the strategy process when requested by the Directions Team
