JOB SUMMARY: The Human Resources and Office Assistant provides administrative support to the Administration Department.  The Administration Department handles sensitive tasks that are critical to accomplishing the mission of the organization, including human resources, facilities management, corporate compliance and contract management. The Assistant will also share receptionist and other administrative duties with the Finance Department Assistant.

DUTIES AND RESPONSIBILITIES:

  • Ensure that the Director of Administration and the Manager of Administration receive high level administrative support.

Human Resources

  • Assist in recruitment and onboarding; monitoring “Jobs” email account, posting positions, scheduling interviews, providing new hire orientations and paperwork.
  • Update and enter new employee information into iEmployee, the organization’s timekeeping software.
  • Update employee benefit elections and payroll changes.
  • Maintain HR files.

Facilities Management

  • Share in Receptionist duties; answer phones, direct calls to appropriate staff, and greet guests.
  • Open and sort mail and packages.  Record, endorse, copy and scan incoming check donations.
  • Order and restock stationery, mailroom, and general office supplies.
  • Coordinate with all office vendors for repairs and updates.
  • Assist staff with meeting room set-up and break-down. 
  • Assist the Director of Executive and Board Services with board meetings.  Order meals, drinks and supplies; prepare transportation for board field trips; and run all presentations (powerpoint, video, etc.) at the board meetings.

Contracts Management

  • Monitor “Contracts” email account; scan and mail signed contracts; request W-9’s, and insurance documents per contract requirements.
  • Maintain electronic files and a contract tracking spreadsheet.

MINIMUM QUALIFICATIONS: 

  • College degree and two years experience providing administrative support in a Human Resources department.
  • Decisive and able to work independently; proactive and solution-oriented
  • Self-motivated with good attention to detail.
  • Proven success at anticipating needs and taking initiative; capable of following through on assignments with minimal direction.
  • Able to work effectively as part of a team.
  • Ability to work effectively with a range of personalities and working styles, and with people at all levels of the organization, including staff and board members.
  • Ability to multi-task and meet deadlines.
  • Excellent verbal and written communication skills, including phone and email.
  • Familiarity with non-profit organizations helpful.
  • Knowledge of office and administrative support procedures, including business English and the operation of office equipment.
  • Proficiency in Microsoft Word, Excel, and Power Point software.
