The Grant Administration Coordinator (Grant Coordinator) will serve a key role within the Development Group of Trout Unlimited (TU). The Grant Coordinator is primarily responsible for the review, data entry, and ongoing maintenance of TU's foundation and government grant agreements within our Portfolio database and our online network folders. This position also is responsible for ongoing, effective communications with TU staff regarding TU's grant agreements and their requirements. The Grant Coordinator will report directly to TU's Foundation and Government Grants Manager.

This part-time position (20 hours per week) requires someone with excellent attention to detail and a high degree of data entry accuracy. The Grant Coordinator will communicate with TU's staff using a variety of mediums, including phone, email, letters, the Portfolio database, and our Online Employer system. The Grant Coordinator will be well versed in the style and language of various government agencies form and grants procedures to effectively comprehend grant information for entry into the Portfolio database.

Requirements

  • Exceptionally detail oriented
  • Excellent communication skills through various mediums (phone, email, etc.)
  • Experience in MS Excel, Word, and Outlook
  • 3+ years experience working with database systems
  • Experience with Adobe Acrobat and creating/modifying PDFs
  • Bachelor's degree in Marketing or Business Administration preferred
  • Knowledge of government grants protocol preferred
  • Strong writing and editing skills preferred

Duties and Responsibilities

  • Thorough review and understanding of foundation and government contracts received.
  • Communicating with TU's Foundation and Government Grants Manager on a daily basis regarding grant agreements received and any issues/concerns regarding such agreements.
  • Communicating with respective TU staff to obtain necessary documentation and information to correctly establish and maintain grant tracks and proposal leads.
  • Establishing accurate grant tracks and proposal leads within the Portfolio database system, including all corresponding steps, reporting dates, notes, and file uploads.
  • Utilizing the TU style guide for keying tracks and leads into the Portfolio database system, and maintaining this style guide as needed.
  • Ongoing maintenance and editing of tracks and leads within the Portfolio database, including but not limited to, merges, addresses, points of contact, websites, and donor types.
  • Some editing and review of final proposals and reports, as needed, during peak production schedules.
  • Various projects as assigned by TU's Foundation and Government Grants Manager.
