The Gift & Data Processing Manager (GDP Manager) manages the day-to-day operations of the gift data processing function for UCS including the supervision of a GDP Associate. This includes responsibility for the accurate and timely entry of all gifts, producing revenue reports, generation of lists and analytical reports as needed, and coordinating ongoing and timely reconciliation of donor database and financial records. The GDP Manager is responsible for ongoing refinement of current systems and establishment of new processes to ensure the efficient and accurate processing of all UCS donations and assuring the timely acknowledgement of donors.

The GDP Manager manages important relationships with vendors and is responsible for generating select individual gift acknowledgments for high value donors. The GDP Manager coordinates with the planned giving department, reviewing the accurate entry of planned gifts into the database, as well as regularly communicating with Development directors and support staff to troubleshoot gift issues related to pledges, restrictions and such.

The GDP Manager works closely with the Database Administrator and is responsible for overall data integrity related to all aspects that touch on their job function. They will partner on the development and oversight of database functions and activity that will ensure that donor data is accurate and accessible to all development staff.

Responsibilities

  • Supervise all in-house gift processing and updating of the Raiser’s Edge database used to house, track, and manage data required for fiscal tracking of fundraising initiatives.
  • Perform high dollar gift and pledge entry for major gifts and foundations.
  • Process, track and maintain records on all stock gift transactions, interfacing with finance & administration and other staff as needed.
  • Ensure that all gifts are accurately entered into Raiser’s Edge, and properly coded for appropriate acknowledgement, receipting, fund tracking, and compliance with internal and external audit requirements.
  • Ensure that all gifts entered online through Convio are recorded in Raiser’s Edge on a timely basis; ensure that Raiser’s Edge/Convio communication protocols are functioning;
  • Produce queries and reports related to GDP functions and development financial reports; generate revenue reports as needed.
  • Work with Finance staff to reconcile gift batches with deposited funds; solving discrepancies as they arise.
  • Work closely with other staff on defining and refining gift processing procedures.
  • Evaluate gift entry procedures and database practices on an ongoing basis to ensure continued effective work flow. Become familiar with industry best-practices. Seek out and attend appropriate trainings.
  • Act as back-up to Gift & Data Processing Associate for entering daily gifts.
  • Manage contractual and day to day relationships with lockbox and monthly giving gift processing vendor. Resolve issues/problems, and maintain contract compliance.
  • Help ensure integrity of data received from external vendors/gift processors.
  • Help develop and follow database coding procedures for specific groups of donors/members.
  • Help ensure that updates to donor records, merging and deceasing of records are completed accurately.
  • Develop and maintain updated versions of documentation detailing procedures.
  • Notify senior staff about gifts requiring special attention.
  • Responsible for management and vendor oversight for low-dollar acknowledgment process, ensuring all donors are sent acknowledgements in a timely and appropriate manner.
  • Help ensure timely generation of all in-house acknowledgements (honor/memorial gifts, gift memberships, workplace gifts, sustainers/monthly donors, planned giving, major gift and foundations.)
  • Ensure that acknowledgement queries and exports run correctly and that donors receive the appropriate letter.
  • Handle, respect and maintain and safeguard confidential data.


 

Qualifications and experience

 Must demonstrate a strong attention to detail with unparalleled accuracy and overall commitment to data integrity. Requires experience working on a daily basis with complex donor and/or customer management database systems and/or relational databases, data entry processing, basic bookkeeping, word processing, as well as an ability to learn and maintain complex record-keeping systems.  Ability to synthesize current processes and database systems, and develop refinements that effect positive change to business practices. Willingness and ability to seek out and attend trainings in order to broaden skill set and bring industry best practices to bear on UCS operations. Ability to successfully supervise staff including occasional temporary staff. Position requires strong written and verbal communication skills and an ability to plan, organize, and communicate effectively in a team environment.  Familiarity with development and donor relations techniques and princi­ples is strongly preferred. Familiarity with Raiser’s Edge and MS-Access preferred.

Work requires five to seven years of comparable and relevant experience, preferably including supervisory experience. 

At UCS, comparable training and/or experience can be substituted for degrees when appropriate.

 

Compensation, Hours and Location: This is a full-time position based in UCS’s Cambridge office. For candidates who meet all position requirements, the salary is in the $50,000s.
