SPECIFIC DUTIES AND RESPONSIBILITIES

  1. This position involves supporting the Administration and Finance Officer in the day to day financial management of the office and implementation of the programme.

    The incumbent will assume the following tasks:

    • Maintaining the ledgers and the accounting systems (maintain records of assets, liabilities, profit and loss, payments and other financial activities), complying with the highest standards;
    • Correct and timely approval and registration of the invoices;
    • Review of expense claims calculations and advance payments, with particular regard to the application of financial rules and policies;
    • Preparation and execution of payments (bank transfers, etc) and treasury management (managing bank accounts and transactions, reconciliations, etc);
    • Filing and archiving all financial and administrative documentation in an appropriate manner;

    He/she will provide support and assistance in the following tasks:
    • Preparation of periodic financial reports and other financial documents, including the yearly closure of the accounts;
    • Budget preparation, execution, revision, re-allocations and authorizations;
    • Monitoring schedules, budgets, income and expenditure of projects and preparing the relevant information required by the donor;
    • Execution of the annual audit; 
    • Administrative activities including tendering, procurements, purchases, implementation of contracts and issues relating to buildings, vehicles, offices;
    • Liaising with and maintaining strong linkages with IUCN headquarters in Gland, Switzerland, in accounting and financial matters;
    • Human Resources management;
    • Preparation and organization of IUCN events, including active participation where requested;

    He/she will undertake any other tasks required by the Administration and Finance Officer.  

REQUIREMENTS

  • This position requires:

    • Good organisational capacity;
    • Qualifications in Finance/Accounting, at least secondary education or equivalent professional experience;
    • Advanced skills with Microsoft Office and knowledge of accounting software;
    • Good English and Spanish are essential, and other Mediterranean languages (particularly French and Arabic) would be a distinct advantage.
