The Facilities Manger oversees the facility operations of the National Headquarters building in downtown Washington, D.C., and coordinates operations in the various field offices.

Essential Duties and Responsibilities

 

  • Facilities Maintenance
    • Manage facility helpdesk; coordinate with Office Services Manager and Building Engineers to resolve all requests received from staff.
    • Create and maintain organizational procurement policy.
    • Act as main contact for staff for facility furniture and equipment requests.
    • Order furniture and equipment as needed in accordance with organizational procurement policy.
    • Maintain fixed asset inventory reconciled to financial records.
    • Act as system administrator for facility telephone system. Coordinate the programming of telephones and troubleshoot system problems related to the voice communication system. Serve as primary point of contact for all service calls.
    • Maintain company cell phone policy and cell phone expense reimbursement policy. Act as administrator for all company issued cell phones. Obtain new cell phones for new staff as needed. Serve as primary point of contact for all issues related to company issued cell phones.
    • Manage all other routine facility related services (utilities, office cleaning, copiers, shipping, courier services, office/kitchen supplies, etc.)
  • Space Coordination
    • Maintain a facility space chart identifying current occupants. Update for new hires, office moves, etc.
    • Coordinate all new hire orientations. Brief new hires on facility operations.
    • Coordinate all initial office set ups and all office moves.
    • Recommend alterations in space planning to meet the needs of organization’s growth.
    • Coordinate all conference room space needs for meetings.
    • Plan and coordinate special events for staff including holiday and birthday parties.
  • Security/Risk Management
    • Act as primary administrator for facility security system.
    • Establish, implement, and maintain adequate security and safety measures.
    • Maintain an emergency evacuation plan to ensure internal employee safety. Maintain Defenders AED, CPR, First Aid certified emergency evacuation team.
    • Ensure that organization is fully protected in areas of general liability, workers’ compensation, and fiduciary responsibility.
  • Field Office Management
    • Coordinate management of field offices.
    • Maintain lease schedule of current field office leases and terms.
    • Arrange and oversee lease agreements/renewals, rental payments, and relationships with landlords.
  • Management/Supervisory Responsibilities
    • Supervise Office Services Manager overseeing the mailroom operations and office equipment maintenance. Ensure daily responsibilities are completed in a timely manner.
    • Provide back-up support to the Office Services Manager.
    • Develop short- and long-range operating objectives, organizational structure, and staffing requirements.
    • Develop annual operating budget. Develop annual capital budget. On a monthly basis monitors expenses against projections and recommend adjustments where necessary.
    • Ensure optimum performance of group function. Recommend and implement techniques to improve productivity, increase efficiencies, cut costs and maintain state-of-the-art practices.
    • Recommend, review and approve employment actions, including interviewing, hiring, promotions and raises, in conjunction with Human Resources. Partner with Human Resources in the handling of disciplinary issues.
    • Ensure communication of duties and responsibilities to direct reports and monitor performance. Provide regular coaching and counseling. Identify training needs. Prepare and deliver salary and performance reviews; review and approve performance and salary appraisals as necessary.
  • Perform all other related duties as assigned

 

Qualifications

  • Education: Bachelor’s degree (B.A./B.S.) or equivalent in related discipline
  • Experience:
    • 6+ years of progressively responsible experience in facilities management, including 2+ years of relevant management/supervisory experience.
    • An equivalent combination of education and experience may be accepted as a satisfactory substitute for the specific education and experience listed above.
  • Other:
    • High degree of initiative, ownership, and critical thinking skills
    • Excellent written and verbal communications skills
    • Ability to take independent action and make sound decisions
  • Physical Demands:
    • While performing the duties of this job, the employee is regularly required to use a computer and communicate with others while doing so.
  • Work Environment:
    • General office working conditions, the noise level in the work environment is usually quiet.
