Working under the supervision of the Vice President of Finance and Administration, the full-time Executive Assistant oversees and manages all office procedures, including general clerical, receptionist and project based work as assigned by senior management to meet the administrative needs of the organization. The Executive Assistant must project a professional image through in-person and telecommunications interactions.

Primary Responsibilities:

  1. Oversee all aspects of general office coordination.
  2. Answer telephones and transfer to appropriate staff members.
  3. Meet and greet visitors and vendors.
  4. Create and modify documents using Microsoft Office.
  5. Perform clerical duties to include but not limited to: photocopying, faxing, mailing, and filing.
  6. Maintain hard copy and electronic filing system.
  7. Monitor and maintain the organization’s intranet.
  8. Respond to routine internet inquiries.
  9. Research, price, and purchase office supplies and services.
  10. Coordinate and maintain records for office space, phones, parking, credit cards and keys.
  11. Setup and coordinate meetings and conferences, including Board of Directors meetings.
  12. Attend Board, committee and staff meetings as requested to record and distribute minutes.
  13. Administer Guest House reservations system and coordinate arrival and departures of visitors.
  14. Assist with travel arrangements for staff and Board members.
  15. Assist with Human Resources work related to arrival of new employees and interns as well as departures or other staffing changes.
  16. Support senior staff in assigned project based work.
  17. Maintain confidentiality in all aspects of staff and organization information.
  18. Other duties as assigned.

Knowledge, Skills and Abilities:

  1. Advanced computer skills.
  2. Good writing, analytical and problem-solving skills.
  3. Knowledge of principles and practices of organization, planning, records management and general administration.
  4. Ability to communicate effectively, both orally and in written word.
  5. Ability to operate standard office equipment as well as learn new processes and programs.

Minimum Qualifications: 

Qualified candidates should demonstrate excellent organizational skills, along with strong attention to detail.  Candidates will possess three years experience in general office responsibilities and demonstrate strong computer literacy including ongoing training.  They must possess above average written and verbal communication skills and be a motivated self-starter.  Ability to communicate well with others and work in a fast-paced team environment is required.  Candidates must possess knowledge of customer service and how to apply it, along with excellent decision-making and problem-solving skills.

Details: 

This a full time, hourly position with regular hours between and 8:00 and 5:00 M-F.  Infrequent weekend work may be required with ample notification time.  Salary will be commensurate with experience.  A full benefits package is included.
