Terms of Reference – Executive Assistant

Background:

The Gold Standard Foundation (GSF) is a non-profit organisation that operates a certification scheme for premium carbon credits. The Gold Standard scheme certifies the highest quality carbon offset projects in the voluntary and compliance carbon markets.  GSF projects employ renewable energy and energy efficiency technologies that are rigorously measured, monitored and verified. All Gold Standard projects demonstrate real and permanent GHG reductions and encourage local sustainable development.

Over the past two years, the Gold Standard Foundation has gone through an extensive and intensive phase of growth, establishing new processes, hiring more staff (from 5 to 26 in 12 months) and creating newly improved structures for the organization.

With further intent to develop internal operational processes and support the Foundation’s strategic expansion in the market, the Gold Standard Foundation offers an immediate opportunity for an executive and operational support position.

Key responsibilities include:

  • Administrative assistance in the establishment and day-to-day management of the Gold Standard operations
  • Support CEO in activities such as travel and meeting coordination
  • Coordinate Foundation Board meetings, take minutes and follow through on designated action items
  • On-going execution of financial processes including invoice processing, payments, preparation of financial materials for the accountant, interaction with GS bank for day-to-day matters etc
  • Follow up on regional and event budgets where necessary
  • Gather data and organise the financial information to support reporting processes for donors and grantees
  • Maintain the administrative and financial library for the Foundation’s official documents (Board minutes, official notes from Geneva administration, contracts, employees records, work contracts, expenses reports, etc)
  • Responsible for office related tasks such as interacting with the building management office, ordering of office supplies, infrastructure support etc
  • Coordinate management meetings, prepare briefings and take the minutes for internal meetings
  • Act as primary point of contact for UNFCCC secretariat, register management team and board members to main conferences, and relay relevant information to appropriate staff
  • Maintain efficient communication at the Secretariat level by answering phone queries, sorting the mail and fax, providing IT support, etc.
  • Assist in the coordination of training and travel related to Gold Standard events
  • Provide general support to the Secretariat in any form as required by ongoing operational and executive needs
  • Additional assistance in other areas may occasionally be requested

Qualifications

1.    3-5 years experience in a similar position. Knowledge of accounting practices will be a plus

2.    Excellent organization skills

3.    Ability to work independently and to handle a variety of task simultaneously within a multicultural team located throughout the globe

4.    Hands-on and pro-active personality. Solutions oriented

5.    Strong personal motivation towards environmental conservation, climate change and sustainable development in developing countries.

6.    Native English speaker or equivalent language skills. French is a plus.
