Executive Assistant Accountable to: Executive Director Type of Position: 35 hours per week Salary: DOE, and comprehensive benefits plan Closing Date: February 4, 2010
This position supports the Executive Director in carrying out day-to-day organizational operations. Provide staff support for relationship building projects, internal operations and facility expansion. A champion for animals, PAWS is a nationally recognized leader in rehabilitating injured and orphaned wildlife, sheltering and adopting homeless cats and dogs, and educating people to make a better world for animals and humans. PAWS is located in Lynnwood, Washington.
In accordance with organizational policies, duties include but are not limited to:
- Provide administrative support for Executive Director including preparing correspondence, printing/copying, scheduling appointments and meetings, organizing files/information; make arrangements for events and meetings.
- Provide staff support to the board and capital campaign committees as requested; assist with scheduling meetings and solicitations; send meeting reminders and materials.
- Assist with research on pertinent topics and issues as they may arise.
- Liaison to PAWS departments as needed.
- Maintain records including meeting minutes, correspondence and publications.
- Other duties as assigned, including special projects that may arise.
The Executive Assistant works under the direction of the Executive Director and is expected to pursue the established duties with minimum direct supervision.
Written performance evaluations will be given after the first three and twelve months of work and annually thereafter. Work may require long periods of sitting at a desk using a computer, calculator or other office equipment. - Bachelor's degree/equivalent and a minimum of two years of demonstrated work experience in administration. Preference will be given to applicants with non-profit administration experience. HR and/or bookkeeping experience a plus.
- Experience working with boards of trustees, senior and executive management, and external parties preferred.
- Experience with all Microsoft Office applications necessary, additional computer and network experience a plus.
- Excellent written and oral communication skills; ability to represent the mission, goals and policies of PAWS.
- Attention to detail and ability to multitask while maintaining accuracy; ability to manage multiple projects and shifting priorities and meet deadlines.
- Must maintain high level of confidentiality and have a tactful, mature and sincere attitude.
- Must be willing to work in a dog-friendly office.
