The Executive Assistant provides a wide range of administrative and executive-level support to the Vice President of the Climate & Air Program.  The position reports to and also supports the program's Managing Director.  This position is located in Washington, D.C.

Key Responsibilities

  • Manage extremely busy and frequently changing calendar for the VP, including the coordination of meetings, conference calls, etc. with internal staff and external parties, such as donors, Board Members, government officials, NGOs, and others.
  • Prepare VP and Managing Director ("managers") for meetings: ensure adequate preparation, such as printing agendas and obtaining background information.
  • Keep managers on track with deadlines and important events.
  • Coordinate process of making sure one-off tasks are completed by VP on a timely basis.
  • Screen VP's email. Flag items for follow up by the managers and forward communication to relevant senior program staff.
  • Draft written communications, including correspondences from managers with internal and external contacts, presentation slides, and reports.
  • Research as requested.
  • Arrange travel for managers including air, train, hotel, and ground transportation--and ensure that managers have up to date itineraries and all travel information.
  • Answer and screen phone calls.  Take messages and field questions.
  • Handle confidential information, including administration and personnel information.
  • Act as ambassador on behalf of VP; liaise with others within EDF departments and programs, as well as with outside organizations. 
  • Produce expense reports and ensure that reimbursements are issued in a timely manner.
  • Provide backup support to the Program Coordinator other program staff as needed.
  • Perform other duties as assigned.

 
Qualifications

  • Minimum five years of experience supporting a senior manager.
  • College degree preferred.
  • Must be self assured and assertive, with excellent interpersonal skills and the ability to interact and build effective relationships with all levels of people within and outside EDF, including Trustees.
  • Demonstrated experience managing executive calendars and providing high-level support to senior management.
  • Excellent communication skills (both oral and written).
  • Extremely well organized; able to respond to requests quickly and to work effectively in a fast-paced environment.
  • Outstanding time management skills, with demonstrated ability to accomplish multiple and changing priorities and tasks in an effective and timely manner. 
  • Must be proactive and possess a “sense of urgency” and “can do” attitude.
  • Ability to juggle tasks, often with conflicting deadlines and priorities, and manage projects to completion.
  • Ability to work well independently and as part of a team.
  • Proficient in Microsoft Office applications; able to handle Internet research requests.
  • Enjoys an entrepreneurial culture. 
  • Knowledge of environmental issues and policy is a plus.
  • Available for overtime as needed.
