 Job Title: Executive Assistant

 Position: 1 year CONTRACT, Full-time

 Reports to: International Program Director

 Salary:    Rs. 23,800 per month/Rs. 285, 600 per annum (Cost to the orgnization) 

 Location: Bangalore

 ABSTRACT

To assist the International Program Director by providing administrative support, diary management, ad-hoc research and in providing clear channels of communication both within and outside the organization. He/she will be energetic and a quick learner who is keen to be a part of campaigning organization.

KEY RESPONSIBILITIES

1. Administrative Support

 a. Manage all correspondence 

 b. Proactively manage the Director's schedule and diary

 c. Co-ordinate with administration and make the ED's travel arrangements

 d. Provide meeting support for internal/external meetings - planning and organizing meetings, taking minutes etc.

 e. Provide timely, well-organized background information for calls and meetings

2. Research and writing

a. Research key ad hoc projects/issues

b. Synthesize information and prepare briefs/summaries

c. Assist in preparation of presentations, talks and papers

3. Other responsibilities

a. Assist in keeping time commitments and completing tasks

b. Follow-up with internal and external parties to submit reports/documents

c. Any other duties as assigned by the International Program Director

JOB REQUIREMENTS

Experience

  • At least 1-2 years experience in any organization in which you have displayed the required skills and abilities

Knowledge

  • Ms Office, including Powerpoint, spreadsheet and word processing, email and internet
  • Understanding of Greenpeace and its Campaigns (desirable)

Skills & Abilities

  • Proven ability to organize: time management and personal workload planning
  • A very good eye for detail with a systematic approach to work
  • Ability to read large complex documents and learn new issues
  • Excellent library, web and database research skill
  • Excellent communication skills, both oral and written
  • Ability to work cooperatively with people at all levels of the organization
  • Ability to identify and clarify assumptions
  • Reasonably numerate, to administer budgets
  • Polite, professional, friendly telephone manner
  • Excellent inter personal skills
  • Confidentiality and discretion

Working Conditions

Whilst we generally follow reasonable office hours, the Executive Assistant is expected to be flexible to meet the demands of the job and his/her line manager.
