The Executive Assistant provides a wide variety of skilled administrative and clerical support, primarily for the Executive Director of the New Jersey chapter of the U.S. Green Building Council. Responsibilities involve exposure to sensitive information and require considerable use of tact, diplomacy, discretion and judgment. The Executive Assistant position requires organizational, financial, editorial and computer skills, as well as non-profit insight, customer service skills and the ability to multi-task. This position is based in Morristown, New Jersey.
General Office Management
- Maintain various databases
- Support the development of standardized forms and procedure manuals
- Arrange committee meeting conference room reservations
- Respond to email at info@usgbcnj.org and direct appropriately
- Make travel arrangements
- Maintain all office equipment and vendor relationships
- Sustain office and support staff with additional requests
- Perform daily operations as would an office manager
Executive Director Support
- Maintain and update USGBC NJ directories for board, committees and staff
- Administer paperwork for new board of directors and those retiring
- Coordinate and distribute board communications for monthly meetings
- Organize meeting tools and office calendar
- Perform research for various tasks
Development Assistance
- Process membership and sponsorship applications/renewals
- Communicate with sponsors to support recruitment and renewals
- Maintain various sponsor databases and information
- Provide sponsorship reports and tracking information to Executive Director
- Prepare and mail quarterly sponsor packets to upcoming renewal
- Track and maintain event flyers and USGBCNJ press releases
Financial Administration
- Record revenue and expenses for all events and education programs
- Issue and track invoices for Sponsorships, Membership and Office related expenses
- Track finances relative to event registration
- Process membership and sponsorship payments with the book keeper
Website Assistant
- Insert new/renewal/complimentary membership listings
- Manage sponsorship listings; new, renewals, content, logos, etc.
- Add contacts to email data base
- Assist members and sponsors with website access
Education and Experience Requirements
- Bachelor’s degree or 3-5 years work experience
- Knowledge and experience working with Not for Profit Organizations
- Excellent communication and organizational skills
- Proficiency in computer skills; Word, Excel, Power Point and data base management (CMD experience preferred)
- LEED Green Associate Accreditation
