Ready for a new challenege at an organizational you can believe it? The Nature Conservancy is looking to hire an Executive Assistant to Vice President, Human Resouces. This position performs a variety of high level administrative tasks to assist the Vice President of Human Resources.

The Executive Assistant assists with annual budget preparation, tracks budget expenditures throughout the year, and alerts the VP to budget issues. S/he prepares reports using the PeopleSoft HRMS and must learn PeopleSoft applications and run queries in Recruiting, ePerformance and eCompensation. S/he makes complicated international travel arrangements, secures visas and arranges for and anticipates logistical needs of traveler. S/he independently contracts for meeting space, arranges meeting logistics, and assists meeting attendees. S/he orders supplies and equipment and tracks maintenance and warranty issues. S/he provides direct support to the VP HR and may also support other senior managers. S/he assists in the design and implementation of large scale projects (i.e. compensation project, Affirmative Action reporting, global literacy travel etc.) ensuring that programmatic commitments, timelines and compliance standards are communicated and met. S/he may independently manage specific projects unique to the department.

This position includeds frequent interaction with all members of the organization including senior managers, staff, trustees, Board of Directors, donors and vendors. Assists HR Senior Staff with travel arrangements, meeting logistics, special projects as needed and may assist the Office of the President, Chief Financial/Administrative Officer and General Counsel Office as needed. Duties are highly confidential and require comprehensive knowledge of TNC's policies, procedures and operations. Responsibilities require discretion, judgment, tact and poise. Incumbent has consideration latitude and flexibility in carrying out assigned tasks.

Preferred Knowledge and Skills:

  • Bachelor's degree preferred, plus at least five years related work experience, or equivalent combination of education and experience.
  • Solid knowledge of MS Office. This may require database management with ability to produce reports and ability to use advanced functions, including sophisticated knowledge of the Internet, Survey Monkey, Visio, Sharepoint and Access.
  • Knowledge of PeopleSoft HRMS and ability to learn applications.
  • Provent organizational and administrative skills and attention to detail.
  • Ability to organize time, manage diver activities and meeting critical deadlines.
  • Proficiency managing diverse activities and coordinating the schedule and contacts of executive(s).
  • Proficiency coordinating multiple large scale projects, setting realistic deadlines, managing a timeline or coordinating staff.
  • Experience working wtih a wide range of people, such as board of directors, donors, volunteers, the public and all levels of staff.
  • Ability to speak Spanish, Mandarin Chinese or Portuguese a plus.
