Events Officer/Manager

 Background

The UK Green Building Council (UK-GBC) is a charity and membership organisation which campaigns for a sustainable built environment. UK-GBC has a diverse membership of more than 400 organisations spanning the entire built environment. The majority are from the private sector, but we also have public and third sector members. 

We work to inspire best practice and leadership, influence government and policy, and impact our members' sustainability performance.  Our vision is a built environment that enables a high quality of life for people, within the limits our planet can support. 

UK-GBC is committed to increasing understanding and sharing best practice in pursuit of a shared vision of a sustainable built environment. UK-GBC has an active calendar throughout the year as well as several large scale annual events. These activities allow members to learn, influence and network with like-minded sustainability professionals from across the built environment industry.

Purpose of the role

The Events Manager is an important role within a strong and highly motivated team which reports to the Head of Membership & Marketing, works closely with different members of the UK-GBC team to deliver events which play a key role in delivering our mission.

Specifically this entails leading on the scoping, management and delivery of the UK-GBC events programme in London and throughout the UK. The UK-GBC events programme has played a critical role in the marketing, communication and education activity of UK-GBC since its inception and is widely regarded in the sector as delivering some of the most professional, enjoyable and rewarding events of any organisation. This role puts you at the heart of the delivery of this programme, allows you to bring your own ideas and improvements to our events programme and gives you the opportunity to play an active role in the embedding of sustainability into the built environment.

Responsibilities

Overall leadership and delivery of the UK-GBC Events Programme as agreed with senior staff, ranging from workshops, seminars and conferences and supporting on select larger events and exhibitions, including:

  • Lead on the design, planning and delivery of UK-GBC’s annual events programme, specifically this role is responsible for planning, format, content, identifying and co-ordinating speakers, and event marketing, including promotion and post event communication.
  • Contributing to UK-GBC’s strategic planning process with a specific focus on events.
  • Setting up and managing event marketing, both print and digital, including html invites, web pages, newsletter mentions and working closely with colleagues to ensure events are marketed through all relevant channels.
  • Account management of event sponsors to ensure realisation of agreed sponsor benefits.
  • All aspects of event delivery on the day including preparation of event collateral.
  • Ensuring that the UK-GBC website is kept fully up to date with all relevant event information.
  • Supporting the Head of Membership & Marketing on event preparation and co-ordination of the UK-GBC at Ecobuild, including marketing UK-GBC events at Ecobuild. 
  • Ensuring all event attendee information is captured on the CRM system.
  • Management of online event booking and payment system, ensuring a positive customer experience, and liaising with finance to ensure that ticket sales are accounted for.
  • Responsibility for the events budget and management of events supplier relations ensuring all events are delivered to budget and at the requisite quality level.
  • Developing and maintaining relationships across the UK-GBC Membership and to wider stakeholders to ensure key contacts and event delegates receive the best experience possible.
  • Periodic reporting of events performance against KPIs to management and more broadly in the quarterly CEO reports to the Board of Trustees.

Person Specification

Essential

  • Minimum of 5 years’ experience in events delivery and management
  • A passion for events management and marketing and the ability to think strategically
  • Experience of using Eventbrite, Mailchimp or similar on line event management and communication tools
  • Basic experience of website content management systems
  • Strong organisational skills and excellent attention to detail
  • Confident and highly self-motivated, with good use of initiative
  • Ability to work as part of a small and dynamic team
  • Committed team player with a flexible approach
  • Excellent communication skills, both written and verbal
  • Strong project management capabilities with ability to juggle multiple projects/activities and maintain tight deadlines
  • Ability to produce content and copy to a professional standard
  • High level of competence in using standard software packages (MS Word, Powerpoint, Excel, Adobe Acrobat etc)
  • Educated to degree level or equivalent experience

Desirable

  • An interest in, and understanding of, environmental and social issues
  • Experience of Salesforce or similar CRM tools
  • Basic experience in production of promotional materials
  • Ability to build consensus from potentially competing viewpoints

 

Terms & Conditions

Place of Work: Building Centre, 26 Store Street, London WC1E 7BT

Hours of work: 37.5 hours; normally 9am – 5.30pm; some evening and weekend work may be required occasionally for which time off in lieu may be taken

Holidays: 28 days per annum pro rata, plus public holidays

Salary & benefits: Competitive package, dependent on candidate experience. UK-GBC offers generous benefits package which includes pension contributions.

Length of contract: Permanent with 6 months’ probation

Start date: Immediate
