Description

The main purpose of this role is to administer CIWEM’s diverse programme of conferences and events including annual conferences, one day conferences, seminars, training workshops, formal dinners, parliamentary receptions, and networking events. This includes effective and efficient administrative support as well as providing good customer service to delegates and other contacts. There is also the opportunity to manage a small portfolio of events once established in the role.

CIWEM has a network of branches, groups, panels and networks which facilitate engagement with a membership of around 10,000. Drawing on this international membership base, which includes both professionals and academics, the Institution produces extensive material aimed to inform and influence policy makers.

CIWEM’s peer reviewed journals attract papers on water management, flooding and wider environmental concerns from academics and professionals based in the UK and abroad. Its magazine The Environment showcases news, topical editorial and commentary to a member and wider audience. CIWEM also delivers online CPD training units and a range of industry relevant events, conferences and seminars.

Hours

The post is a full time role, fixed-term 1 year. Normal working hours are 9am to 5pm from Monday to Friday (inclusive). Some flexibility in working hours and location is permitted subject to prior agreement with your line manager and in accordance with CIWEM’s wider policies. The post holder may be required to work occasional extra hours according to the operational needs of the Institution.

Location

The position is based at CIWEM’s Office at 106-109 Saffron Hill, London EC1N 8QS. Remote working is appropriate to this role in accordance with CIWEM’s remote working policy.

Duties / Responsibilities

Events Administration/organisation

  • Support the Events Team in the organisation and administration of CIWEM events including branch events
  • Attend and assist in the running of events including meeting and greeting delegates
  • Collect and report on delegate feedback
  • Coordinate venue management and supplier liaison
  • Once established in the role, manage a small portfolio of events including liaising with speakers and event logistics.

Bookings/Customer Service

  • Administer delegate bookings, payments and debt collecting, managing the booking database and coordinating with accounts using the CIWEM CRM system
  • Provide a point of contact for delegates over the phone and via e-mail, encouraging bookings where possible

Document Preparation

  • Design, proofread, print and assemble delegate packs and other event materials.
  • Oversee web content for Events Team, ensuring all content is up to date and making continuous improvements to layout and usability

Marketing Promotion

  • Coordinate the marketing and promotion of events by drafting promotional text and marketing guidance, coordinating and planning email campaigns, researching new audiences and assist the Press and Communications Officer in coordinating social media campaigns

This is a fixed term contract for 12 months.
