Job Title:                     Events and Outreach Coordinator

Reporting to:              Managing Director & COO

Responsible For:        Events Intern(s)

Location:                    Frontier Office, London, UK

 

PRIMARY FUNCTION

We are looking for a creative well organised and target driven person who is passionate about travel; conservation; and environmental outreach and education. The Events Coordinator will help execute and coordinate events in educational institutes to attract and recruit prospective volunteers and help to develop new marketing materials and strategies to promote Frontier.

 

GENERAL OUTLINE OF THE ROLE

- Liaise with external sources, educational institutions including the Media, Schools, Colleges and Universities;

- Negotiate all events costs

- Organise Frontier Event packs

- Write evaluation and statistics for all events

- File and coordinate invoices

- Maximise Frontier’s profile and raise awareness through presentations, direct mailings, assisting with advertisements and listings

- Read and respond to all emails

- Liaise with Frontiers marketing team to execute regular e-bulletins

- Weekly report for Managing Director review

 

MAIN DUTIES & RESPONSIBILITIES

- Maintain the volunteer and careers fairs databases

- Implement and maintain the events database including invoicing, contacts and bookings

- Help design posters for universities and schools

- Presenting to and providing talks at shows and Schools

- Manage the brochure mail out following any careers fairs/ school talks and monitor evaluation forms

- Continuously developing and improving supporting documents e.g. PowerPoint presentations

- Helping to manage work shadowing schemes

- Manage and train a small team of interns to assist this role

 

TERMS & CONDITIONS

Contract Duration:    Permanent after successful completion of a 3-month probation period.

Working Hours:          9.30am – 5.30pm during weekdays, plus occasional weekends and evenings as required

Salary:             £14,000-£16,000 per annum depending on experience and qualifications

Training:         Initial job specific training and on-going professional development.

 

JOB SPECIFICATION

                       

EDUCATION/KNOWLEDGE:

Essential        

- Educated to degree level

- Fluent English

Desirable        

- Knowledge of travel sector and worldwide conservation issues

- Development and NGO Sector

 

EXPERIENCE:  

Essential

- Experience of office administration procedures, specifically database management

- Experience of budget and financial management

- Proven public speaking experience 

Desirable

- Overseas travel or work experience

- Experience of working with NGOs

 

SKILLS:

Essential

- Meticulous administrative and time management skills

- Excellent written/oral communication and presentation skills

- Negotiation and liaison skills

- Good IT skills, particularly a good working knowledge of spreadsheets and word processing

- Ability to work with limited supervision, and to be proactive        

Desirable

- Knowledge of UK University and School system

- Knowledge of Conservation or Biological Sciences

- Knowledge of the Travel, Volunteer and NGO sectors

- Knowledge of other languages
