Role Profile

ZSL is looking to hire an Estuary & Wetlands Conservation Programme Administrator to provide administrative support to the team to enable it to contribute to achieving ZSL 200 goals and the delivery of the ZSL Conservation Plan. The successful candidate will assist with financial administration of projects including proposal preparation, donor agreements and reporting, upkeep of ZSL Project Database, tracking of programme income and expenditure, and supporting recruitment and team events.   

Main Duties and Responsibilities

  • Liaison with the C&P Operations team and ZSL Finance to ensure that project accounts are logged correctly..
  • Support project manager(s) in tracking project activities and expenditure to ensure that deliverables are achieved according to the grant contract, work-plan and budget.
  • Organise programme meetings and workshops, preparing materials and taking and producing minutes/reports.
  • Support fieldwork logistics including vehicle bookings, boat licencing, vehicle maintenance and safety checks.
  • Working with project manager(s), ensuring that monthly reports are prepared and submitted, and that project information on the ZSL Projects Database and ZSL website are kept up to date.
  • Support project managers in the production of promotional materials and fundraising proposals for the project(s) as needed.

The role is a full-time role but we are happy to consider applicants who wish to work more flexibly so please state if this is your preference in your covering letter.  

Person Specification

  • Experience of working in UK or international charities where income is primarily grant based. 
  • Strong financial literacy demonstrated through experience in budget management and reporting.
  • An understanding of project management processes is desirable
  • Well-developed skills in using MS office packages, specifically Word, Excel and PowerPoint.  A strong competency in Excel is essential.
  • Strong organisational, interpersonal and communication skills, both face to face and in writing.
  • An enjoyment of working in a team with a shared purpose.  
  • A passion for the natural world and its conservation.
