Job Title: Editorial Assistant, Sierra Magazine

Department: Sierra Magazine

Reports To: Executive Editor

Context: Provides clerical and administrative support for Sierra magazine.

Scope: The Editorial Assistant performs a variety of administrative functions in the editorial, advertising, circulation, and business facets of Sierra magazine as well as for Sierra’s executive editor and for the Sierra Club Communications Director. Performs research on behalf of other editors. Occasionally writes articles for the magazine and its various websites.

Status: This is a part-time job @ 20 hours per week.

Job Activities:

1. Maintains systems for processing unsolicited manuscripts, queries, and letters to the editor, and responds to inquiries regarding their status.

2. Creates and maintains database of subject experts, fact-checkers, and writers, including contact and payment information.

3. Assists Sierra Club Communications Director with correspondence, interdepartmental communications, scheduling, and other tasks as assigned.

4. Opens, sorts, and distributes all of Sierra’s incoming mail. Drafts correspondence as directed by the executive editor or editor in chief.

5. Responds to inquiries relating to permissions to reprint and editorial and photographer guidelines.

6. Maintains departmental periodical library, keeping paid magazine subscriptions current, arranging for trade agreements and complimentary subscriptions, and routing periodicals to staff. Acts as librarian for Sierra’s book collection; maintains reference, travel, nature, and other sections; creates and monitors system for editors to check out and return books.

7. Establishes and maintains postal and editorial payment records.

8. Mails editorial surveys and tabulates results.

9. Orders the department's office supplies and purchases necessary items for staff gatherings including but not limited to editorial retreats.

10. Maintains on-site and off-site storage areas for Sierra. Acts as liaison with Sierra Club archives at Bancroft Library and makes arrangement for transfer of appropriate materials.

11. Performs general clerical tasks as requested, including word processing, answering phones, photocopying, and faxing for Sierra staff and Communications Director.

12. Oversees distribution and filing of contracts and invoices for freelancers. Performs research and fact-checking functions to assist editors.

13. Time allowing, writes articles for the print version of the magazine and its various websites.

14. Performs miscellaneous duties as directed.

Knowledge & Skills:

-- One year relevant experience or combination of administrative experience and writing skills.

-- Excellent written and oral communication skills.

-- Proficient in Word; knowledge of Excel and PowerPoint helpful.

-- Demonstrated strong organizational skills and attention to detail.

-- Ability to work well with people and deal with multiple priorities.

This position is represented by a collective bargaining unit and is subject to the terms and conditions of the contract between Sierra Club and Sierra Employee Alliance.
