Description

The Green Climate Fund (“the Fund”) is a new multilateral fund created to make a significant and ambitious contribution to the global efforts towards attaining the goals set by the international community to combat climate change.

The Fund will contribute to the achievement of the ultimate objective of the United Nations Framework Convention on Climate Change (UNFCCC). In the context of sustainable development, the Fund will promote the paradigm shift towards low-emission and climate-resilient development pathways by providing support to developing countries to limit or reduce their greenhouse gas emissions and to adapt to the impacts of climate change, taking into account the needs of those developing countries particularly vulnerable to the adverse effects of climate change.

The Fund is governed by a Board, composed of an equal representation of developed and developing countries. The Fund is operated by an independent Secretariat headed by an Executive Director. The Fund will pursue a country-driven approach in its operations.

The Document Control Specialist will be based at the Fund’s headquarters in Songdo, Incheon City, Republic of Korea. This is a unique opportunity to be part of a start-up in international climate finance that offers stimulating challenges.

 

Role

The Document Control Specialist will report to the Secretary to the Board and s/he will lead and coordinate the GCF document development process along the different stages of the document preparation chain, ensuring the editorial quality of GCF documents and its timely delivery.

 

Duties and responsibilities

Under the guidance of the Secretary to the Board, s/he will be responsible for:

  • Overseeing the overall document development cycle in preparation of, during, and after the meetings of the Board;
  • Managing the overall editorial workload, including the editing, reviewing and proofreading of a diverse range of documents to ensure that they express ideas clearly, are of a consistently high standard and adhere to the Fund’s editing style;
  • Ensuring the timely delivery, circulation and publication of documents on the Fund’s website and relevant media outlets, as appropriate and applicable;
  • Further developing and consolidating the Fund’s editorial guidelines, editing and formatting styles;
  • Mapping out and streamlining the document preparation process, including the identification of bottlenecks and the development of strategies;
  • Developing databases and web based tools that help optimize the document preparation cycle,
    in close collaboration with the Fund’s ICT team;
  • Supporting the Secretary to the Board during the meetings of the Board, in the preparation and adoption of decisions by the Board and taking the lead to prepare the meeting reports;
  • Maintaining, managing and coordinating a network of editors and report writers, mostly remotely-based consultants, to support the work of the Fund as required;
  • Planning, conducting and leading capacity-building sessions with staff in order to ensure adequate awareness and use of the Fund’s editorial and formatting guidelines in the preparation of official documents and written materials;
  • Working closely with responsible staff members to develop texts and make recommendations for any editing action that are required; and
  • Other activities in accordance with this role and as agreed with senior management.

 

Required experience and qualifications

  • Advanced university degree in English, literature, linguistics or journalism and/or substantial experience in editing and document handling; alternatively, editors may hold a university degree from a recognized school of translation;
  • Minimum 7 years of relevant experience within the field, in a professional capacity relevant to the post;
  • Knowledge and experience with United Nations editorial guidelines, policies and practice is an advantage (in particular with those of multilateral environmental agreements as the UNFCCC and/or others);
  • Excellent written and oral communication skills in English are essential for this position; knowledge of another UN language an advantage;
  • Working experience in international and multicultural settings;
  • Ability to work under pressure, under strict timelines, and at high speed, coordinating a variety of internal and external actors for the delivery of tasks related to the post;
  • Awareness of relevant IT systems and related technologies, particularly in their application to enhance document preparation cycles in a multi-user and multi-stakeholder environment;
  • Suitability to undertake the responsibilities mentioned above at the required level, with the following: (a) Proven application of expertise; (b) Able to act as a team leader when required, with supervision from the team head; (c) A team-player with a proactive and can-do attitude
  • Experience in establishing strong working relationships with colleagues from different backgrounds and cultures; and
  • Applications from women and citizens from developing countries are strongly encouraged.
